Job Description/Summary Provides all direct administrative and clerical support to and for CEO This individual is the direct support to the Chief Executive Officer, which embodies an impeccable level of professionalism and poise in verbal and nonverbal communication. The EA will be a representative of the CEO and PBHG requiring adherence to confidentiality and discretion.

Requirements

  • Proficiently communicates - written and verbal
  • Ability to use Microsoft Office 365, Adobe, Easy Board, and all organizational digital platforms
  • Professional appearance and telephone manner
  • Ability to anticipate needs and be proactive
  • Excellent organizational and interpersonal skills
  • Impeccable professionalism and boundaries of confidentiality
  • Demonstrates the ability to follow policies and procedures as outlined in the HR Manual and Employee Handbook.
  • Must be able to attend at least two quarterly Agency meetings per year.
  • Demonstrates familiarity with organizational policy and procedures.
  • Education: Bachelor’s degree preferred; will waive for considerable professional experience
  • Experience: minimum of 5 years’ relevant professional experience

Responsibilities

  • Provide primary administrative and clerical support to CEO and other senior level leadership when requested.
  • Schedule meetings on behalf of CEO inclusive of creating agendas
  • Attend meetings as required, record and distribute meeting minutes on behalf of CEO
  • Schedule and coordinates the planning of on-site and external meetings as needed
  • Order printed materials, organization-wide
  • Create and distribute board packets to trustees no less than six days before scheduled board meetings
  • Engage in written and verbal communication on behalf of the CEO
  • Complete expense reports for CEO
  • Sign and organize contracts on behalf of CEO
  • Maintain Notary Public status
  • Attend and assist with fundraising and PR events as needed by CEO
