The Executive Administrative Assistant provides high-level administrative, organizational, and operational support to two Executive Leaders, enabling them to operate effectively, efficiently, and strategically. This role requires sound judgment, discretion, strong executive presence, and the ability to manage competing priorities in a fast-paced, dynamic environment. The Executive Administrative Assistant serves as a trusted partner to senior leaders and a key point of coordination across the organization.

Requirements

  • Bachelor’s degree preferred or equivalent experience.
  • 5+ years supporting senior leaders.
  • Strong organization, communication, MS Office proficiency, confidentiality, discretion.

Responsibilities

  • Support preparation for senior leadership and board-related meetings, including meeting materials, logistics, and follow-up.
  • Provide proactive, end-to-end administrative support to two Executive Leaders, including complex calendar management and meeting coordination.
  • Anticipate scheduling conflicts and resolve issues independently.
  • Manage domestic and international travel arrangements, itineraries, and expense reporting.
  • Serve as a primary point of contact between executives and internal/external stakeholders.
  • Support site or facility-related administrative needs.
  • Support site events and executive visits.
  • Organize special projects and cross-functional initiatives.
  • Identify process improvement opportunities to drive efficiency and effectiveness for business operations.
  • Apply sound judgment to evolving priorities.
