About The Position

The Executive Assistant (EA) to the CEO, CRO, and CFO plays a critical role in supporting executive leadership within Phoenix American Warranty. This position provides high-level administrative, operational, and coordination support while helping leadership stay focused on strategic priorities, revenue growth, compliance, and financial performance. The ideal candidate is highly organized, proactive, and comfortable operating in a regulated, fast-paced service industry where discretion, accuracy, and responsiveness are essential.

Requirements

  • 4+ years of experience supporting senior executives in a small to mid-sized organization.
  • Proven ability to support multiple executives in a lean, fast-moving environment.
  • Strong organizational skills with high attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • High level of professionalism, integrity, and confidentiality.
  • Proficiency in Microsoft Office and collaboration tools.

Nice To Haves

  • Experience in insurance, auto warranty, financial services, or other regulated industries.
  • Familiarity with CRM, policy administration, or financial systems.
  • Experience supporting revenue, finance, or operations leaders.
  • Project coordination or process improvement experience.

Responsibilities

  • Provide day-to-day administrative support to the CEO, CRO, and CFO, including calendar management, meeting coordination, and limited travel arrangements.
  • Serve as a central point of contact between executive leadership and internal departments such as Claims, Customer Service, IT, Payment Operations, and Accounting.
  • Anticipate scheduling conflicts and business priorities, proactively adjusting calendars and workflows.
  • Prepare agendas, presentations, reports, and briefing materials for leadership and operational meetings.
  • Track action items and follow up with department leaders to support execution and accountability.
  • Draft and manage executive correspondence, internal communications, and leadership updates.
  • Coordinate leadership meetings, management reviews, and cross-functional working sessions.
  • Support communication related to revenue performance, operational metrics, and financial updates.
  • Handle sensitive information related to employees, financials, vendors, and partners with discretion.
  • Support revenue leadership activities, including sales meetings, partner communications, pipeline reviews, and reporting coordination.
  • Maintain organized digital files and records related to executive initiatives, contracts, and key business documentation.
  • Help streamline internal processes and improve executive efficiency in a lean organizational structure.
