About The Position

Lion Country Safari is seeking a full-time Executive Administrative Assistant to support the Executive Office. This role includes managing correspondence, handling phone inquiries, performing data entry, and overseeing administrative staff through training, coaching, mentoring, and delegation. The ideal candidate will ensure efficient daily operations while upholding the mission and philosophy of Lion Country Safari.

Requirements

  • High School graduate.
  • 5 to 7 years executive administrative experience.
  • Strong organizational skills.
  • Ability to communicate proficiently via verbal and written correspondence.
  • Ability to compute basic mathematical calculations.
  • Firm knowledge of computers and all Microsoft Office applications.
  • Ability to think clearly and remain calm in volatile situations.
  • Detail oriented, well organized with excellent follow-up skills.
  • Ability to maintain confidentiality of staff, vendors, and guest’s information and business data.
  • Ability to work with minimal supervision.
  • Ability to interact cohesively with other departments.

Nice To Haves

  • Some college preferred.
  • Familiarity with preparing statistical reports.
  • Demonstrate ability to form positive relationships with staff, vendors, and guests.
  • Previous training in guest relations.
  • Certified notary public

Responsibilities

  • Assist the Executive Office staff in overall plan implementation and support of goals and objectives.
  • Greet all individuals arriving at the executive offices courteously and assist with their needs.
  • Document and maintain appointment calendars.
  • Oversee set-up of workstations with necessary supplies, resource materials and maintain cleanliness throughout shift.
  • Knowledge in the use of all office equipment, computer and manual systems.
  • Comply with all hotel and departmental policies and procedures, services/features and hours of operation.
  • Oversee supply requisitions and ensure compliance within budgetary guidelines.
  • Record messages legibly.
  • Type correspondence, memos and reports as assigned.
  • Attend designated meetings, take minutes, and distribute.
  • Document all guest requests/complaints and communicate such to respective personnel for proper handling.
  • Coordinate service repairs for office equipment, ensuring minimal costs.
  • Oversee successful completion of the training/certification process for administrative pool.
  • Establish and maintain filing procedures.
  • Manages all necessary COI’s.
  • Performs other duties as assigned deemed appropriate by management.
