About The Position

The Executive Administrative Assistant provides high-level, confidential administrative support to the Executive Administrative & Events Manager and other executive staff. This position is often privy to confidential information and as such, requires diplomacy and discretion as well as ensure accuracy of information while maintain complete confidentiality throughout all processes assigned and handled.

Requirements

  • Education or experience equivalent to an associate's degree, plus 4 years of experience in office management and/or administration
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of the office administration, clerical procedures and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite.
  • Patience, tact, enthusiasm towards the Members, fellow staff and general public.
  • Must be capable to execute all terms and conditions set forth in the Employee Handbook, including but not limited to:
  • Works in a safety conscious manner which ensures that safe work practices are used in order not to pose a risk to self or others in the workplace.
  • Adheres to policy on Drug Free Workplace.
  • Complies with company policies and procedures and local, state and federal regulations.
  • As a condition of employment, new hires must be fully vaccinated against COVID-19 on or before the first day of employment (subject to legally mandated exemptions).
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization's facilities.

Responsibilities

  • Provide high level administrative support and assistance to the Executive Leadership Team.
  • Assist in the scheduling and management of assigned calendars.
  • Assist in the handling of confidential and sensitive material with a strong attention to detail.
  • Assist in the development of reporting procedures and other methods to establish timeline and assist in tracking mechanisms to ensure deadlines are met.
  • Assist in the timely and accurate completion of various management reports.
  • Prepare agendas and schedules for meeting (as assigned). Assist in the organization of the Annual Meeting, Holiday Parties and other employee events.
  • Assist in the organization and preparation for various staff and management meeting as directed by the Executive Administration & Events Manager.
  • Arrange travel and logistics, such as booking flights, car rental, hotel accommodations, conference registration, etc. Upon return, complete all expense reports and reimbursements.
  • Prepare for approval monthly expense reports as needed.
  • Retrieves information as requested from records, email, meeting minutes and other related documents; prepares written summaries of data when needed.
  • Greet members as needed. Ensure Members' needs are directed to the correct department/employee.
  • Assist the Executive Administration & Events Manager with additional duties that arise.
  • Perform other duties as assigned.
