This position delivers comprehensive administrative support for designated functional areas, maintaining an organized filing system, safeguarding confidential materials, and collaborating closely with key stakeholders and core team members to ensure that daily operational requirements are fulfilled, including support in managing the PGS Office Supply Room. The role independently oversees complex tasks, prioritizes multiple projects efficiently, and aligns daily activities with overarching business objectives. Primary responsibilities include coordinating and organizing both in-person and virtual meetings and interviews, facilitating effective communication among teams, and fostering a collaborative and professional workplace environment. This role demands demonstrated executive administrative proficiency, sound judgment, and a high level of professionalism due to regular engagement with senior leadership and the handling of sensitive information. What You Will Achieve In this role, you will: Communicates effectively with the People Leader and others, prioritizing customer needs, adhering to SOPs, sharing objective information, asking insightful questions, and maintaining accurate records. Initiates and adapts procedures to improve skills, motivates team members to enhance work processes, and eliminates inefficiencies while following established guidelines. Maintains a well-organized and compliant filing system, manages and secures confidential files in accordance with Document Retention Guidelines and regulations. Demonstrates strong time management by completing complex assignments independently, following up to ensure timely execution, and prioritizing multiple projects using sound judgment. Contributes to developing plans and aligning work priorities with business objectives, consulting with supervisors on high-priority issues and considering key company factors in decision-making. Works autonomously within established procedures and broad guidelines, selecting appropriate methods and approaches for complex situations. Collaborates with the PGS Admin Team, supports management of communications, and fosters teamwork by working closely with peers and management. Schedules interviews for area managers and demonstrates ability to coordinate meetings both onsite and virtually, including room setup and virtual technology requirements. Supports management of the PGS Supply Room and operates under general guidelines with minimal supervision. Consistently models professional communication by maintaining confidentiality, listening actively, conveying clear messages, and promoting open interaction across teams. Exercises sound judgment and professionalism when handling confidential information, serving as a role model for peers. Possesses comprehensive knowledge and essential skills relevant to their designated area.

Requirements

  • High School Diploma or GED with at least 6 years of experience
  • Demonstrated planning and organizing skills
  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word
  • Excellent attention to detail and interpersonal skills
  • Ability to work with confidential documents and information
  • Strong communication and collaboration skills
  • Ability to carry out all office functions proficiently and complete quality work on a timely basis
