About The Position

The Infrastructure & Corporate Citizenship (ICC) function – comprised of the Global Real Estate, Construction, Facilities Operations, and Corporate Giving teams – is seeking a highly skilled and organized Executive Assistant to provide comprehensive support to up to 5 VP/Directors. The ideal candidate will possess exceptional problem-solving skills, adaptability, and the ability to anticipate needs at a high level. This role involves a wide range of responsibilities, both internal and external, requiring independent thinking and judgment.

Requirements

  • Minimum of 5+ years of experience as an Executive Assistant, preferably in a fast-paced environment supporting multiple Executives
  • Demonstrated ability to look ahead, proactively anticipating leader and business needs
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • Demonstrated ability to work with a high level of integrity and discretion
  • Extensive experience managing complex calendars and schedules
  • Advanced skills and proficiency in Slack and MS Office applications, including Word, Excel, and PowerPoint
  • Exceptional communication skills, both written and verbal
  • Must be willing to accommodate varied time zones and schedules to support executives

Responsibilities

  • Manage complex calendars, including scheduling appointments, meetings, and travel arrangements
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing relevant materials
  • Provide solutions to non-routine problems of moderate scope and complexity, demonstrating independent thinking and adaptability
  • Support executives in day-to-day activities, ensuring smooth operations and timely completion of tasks with accuracy
  • Utilize MS Office applications to create and edit documents, spreadsheets, and presentations
  • Create and maintain presentation material for senior level meetings
  • Maintain confidentiality and handle sensitive information and material with discretion
  • Identify opportunities for process improvement and initiate solutions that enhance productivity and efficiency
