Requirements

  • 2+ years previous experience in Administrative role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Commitment to outstanding customer service both internally (to co-workers) and externally (to customers/visitors)
  • Excellent written and verbal communication skills
  • Excellent administrative, organizational, planning & multi-tasking skills
  • Willingness to work flexible hours & travel for company events when necessary
  • Strong work ethic & a positive can-do attitude
  • High school diploma; prefer Associate or Bachelor Degree

Responsibilities

  • Coordinate and manage complex calendars, including scheduling meetings, appointments, and travel arrangements for executives. Both professional and personal appointments.
  • Prepare and distribute executive correspondence, reports, presentations, and meeting materials.
  • Screen and prioritize incoming emails, phone calls, and requests for the CEO.
  • Arrange and facilitate executive meetings.
  • Handle confidential information and sensitive documents with discretion.
  • Assist with planning and preparation for board meetings, quarterly reviews, and leadership retreats.
  • Coordinate cross-departmental communication and project tracking for executive initiatives.
  • Support executive expense reporting, reimbursement processes, and budget tracking.
  • Complete ad hoc projects/tasks as needed.
  • Monitor inventory levels and reorder office supplies as needed to ensure uninterrupted operations.
  • Evaluate suppliers and negotiate contracts for office products and services.
  • Maintain organized storage and distribution systems for office supplies.
  • Track supply usage and manage budgets for procurement.
  • Schedule routine office maintenance, including cleaning, repairs, and equipment servicing.
  • Serve as the point of contact for building management, contractors, and service providers.
  • Monitor maintenance requests and ensure timely resolution of issues.
  • Maintain records of maintenance activities and compliance with safety regulations.
  • Manage incoming and outgoing shipments.
  • Assist with coordinating workspace assignments.
  • Maintain up-to-date office procedures documentation.
  • Support general office operations and contribute to a positive work environment.
  • Organize company events, meetings, and conferences, including venue booking, catering, and logistics coordination.
  • Manage invitations, RSVPs, and attendee communications for internal and external events.
  • Oversee setup, audiovisual requirements, and troubleshooting during events.
  • Coordinate with vendors and stakeholders to ensure successful event execution.
  • Prepare event materials and follow up on post-event evaluations and reporting.
