To support this mission, Syngenta is seeking an Exec Administrative Assistant in St. Gabriel, LA. This role will provide administrative support to the Site Manager and, as needed, to site Leadership Team Managers. Administer non-exempt timekeeping across the site, ensuring accurate and timely submission of hours and resolving discrepancies. The Exec Administrative Assistant will act as the Communications representative for St. Gabriel to Syngenta's NA Communications group and the local community. Perform miscellaneous duties to ensure St. Gabriel remains current with corporate information and fulfills required communication needs within Syngenta.

Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Working knowledge of timekeeping within Dayforce
  • Experience effectively supporting corporate and global visitors and senior leadership
  • Experience working with all levels of employees and site management leaders
  • Excellent computer skills across Microsoft Office products
  • Strong interpersonal skills and ability to work with a diverse group of employees
  • Ability to rapidly learn systems (e.g., SAP, Team Space, Dayforce) and share knowledge with others
  • Demonstrated ability to multi-task in a fast-paced, high-stress environment
  • Ability to handle highly confidential data with discretion and professionalism
  • Ability to work independently with limited direct supervision within the scope of the position
  • Demonstrated positive attitude and consistent willingness to assist

Nice To Haves

  • Prior experience with timekeeping administration in a manufacturing or industrial site environment preferred
  • Minimum 5+ years of administrative experience with increasing responsibility preferred

Responsibilities

  • Oversee site timekeeping for non-exempt employees in Dayforce by ensuring prompt and accurate recording of hours, addressing discrepancies as they arise, and providing guidance to employees and managers regarding timekeeping queries and adherence to compliance requirements.
  • Organize and facilitate both on-site and off-site activities for the Site Manager and others as available, including managing room setups, catering arrangements, coordinating event logistics, and sourcing necessary supplies.
  • Act as the primary contact for the site when hosting corporate and international guests, assisting with travel arrangements, securing overnight lodging, and handling other logistical requirements as needed.
  • Create and update documents and presentations for the Site Manager and manage STG TeamSpace as the Site Administrator to ensure resources and information are accessible and up to date.
  • Engage actively in cross-functional site teams, providing essential coordination, information, and support. This includes participation in the NA Communications team, 'Between the Rows' newsletter, United Way campaign, and various community outreach projects. Lead site communications with the local community and EI-Inc.
