About The Position

The Events Manager brings dedicated capacity to the Marketing team to develop and scale an events program that supports organizational missions and patient acquisition across Tennessee and Kentucky. This is a hands-on role for someone who loves building experiences that people actually want to attend—and who can turn a good idea into a well-run, measurable event. You’ll be the primary owner of event operations: logistics, staffing, vendors, on-site execution, and the behind-the-scenes details that make events feel effortless to attendees. You’ll also work closely with Community Relations and Clinic Leaders to keep communication flowing, improve how we plan and execute events over time, and ensure we can clearly measure results and ROI.

Requirements

  • 5–6 years of event management experience, including executing multiple events per year
  • Strong project management and organizational skills, with the ability to manage multiple events and stakeholders at once
  • Excellent written and verbal communication skills and confidence working with internal leaders and external partners
  • The ability to perform well under deadlines and pressure, with a strong eye for detail
  • Willingness to travel up to 50% across Tennessee and Kentucky
  • Willingness to be present at key events across clinic locations
  • Proficiency with Google Workspace and Microsoft Office
  • Capacity to participate in the development and deployment of new internal systems for content management and project management

Nice To Haves

  • Bachelor’s degree is preferred (or equivalent experience).
  • Familiarity with event and project tools such as Monday.com, Asana, Eventbrite, TripleSeat, Square, GiveButter (or similar) is preferred

Responsibilities

  • Help shape an expanding event strategy and bring it to life across multiple client organizations and locations.
  • Manage the event calendar, build realistic plans and timelines, and lead day-to-day coordination to keep stakeholders aligned and moving.
  • Drive the operational side of events end-to-end. That includes everything from securing venues and managing registration or ticketing, to planning attendee flow and accessibility needs, to building staffing plans and making sure day-of roles are crystal clear.
  • Recruit, schedule, and coordinate event staff and volunteers as needed, ensuring we show up prepared and professional every time.
  • Source and negotiate with vendors—venues, catering, rentals, A/V, signage, entertainment, security, and more—and manage vendor execution, load-in, and load-out.
  • Track operational requirements such as permits, insurance documentation (COIs), and vendor compliance so nothing gets missed at the worst possible time.
  • Support event budgeting and financial tracking, helping develop budgets, monitor spend, and reconcile invoices. Look for smart cost efficiencies without cutting corners on the attendee experience.
  • Lead debriefs, document lessons learned, and strengthen playbooks, checklists, vendor lists, and other tools that improve consistency and scalability.
  • Deliver clear reporting on event performance—attendance, costs, engagement, conversions/leads where applicable, partner outcomes, satisfaction—so we can keep improving and ensure ROI goals are consistently being met.
