About The Position

We're hiring an Event Manager to own Basata's presence at industry events from start to finish. You'll research and identify the right conferences, trade shows, and networking events for our team to attend and sponsor, then manage every detail that turns a booth or dinner into a meaningful customer and prospect experience. This role sits within the Marketing team and reports to the Marketing Director. It's highly cross-functional, you'll work closely with Sales, Marketing, and leadership to make sure our event strategy directly supports pipeline and brand goals.

Requirements

  • 3–5 years of experience in event management, field marketing, or a closely related role, ideally in B2B SaaS or healthcare technology
  • Proven track record managing multiple events simultaneously across different stages of planning
  • Strong organizational skills and an obsessive attention to detail, nothing falls through the cracks
  • Experience planning executive dinners and hospitality activations, not just booth logistics
  • Comfortable managing budgets, vendor negotiations, and contracts
  • Excellent communicator who keeps stakeholders informed without being asked
  • Willingness to travel (estimated 50% depending on event calendar)
  • A self-starter mindset, you see what needs to happen and make it happen

Nice To Haves

  • Experience in healthcare IT, health tech, or regulated industries
  • Relationships with healthcare conference organizers or industry associations
  • Experience managing event-related swag vendors and fulfillment workflows

Responsibilities

  • Research and maintain a calendar of relevant industry conferences, trade shows, summits, and networking events
  • Evaluate sponsorship and speaking opportunities and make recommendations based on audience fit, cost, and strategic value
  • Manage event contracts, registration, and booth/sponsorship bookings
  • Build and maintain relationships with conference organizers and venue contacts
  • Own end-to-end logistics for every event: booth setup and teardown, shipping, A/V, staffing schedules, and on-site coordination
  • Serve as the primary point of contact for vendors, venues, and event organizers
  • Create and manage run-of-show documents and event briefs for the internal team
  • Travel to events and provide on-site support as needed
  • Plan and execute executive dinners, hosted happy hours, and VIP experiences around key events
  • Source and manage venues, catering, and guest lists in coordination with Sales and Marketing leadership
  • Handle RSVPs, seating arrangements, and day-of logistics for hosted dinners and side events
  • Manage swag sourcing, ordering, inventory, and fulfillment for events and campaigns
  • Work with the creative team to ensure branded materials (banners, signage, collateral) are produced on time and on brand
  • Track costs and maintain vendor relationships for print and promotional items
  • Capture leads and ensure timely handoff to Sales for follow-up
  • Document event ROI and compile post-event recaps with key metrics, learnings, and recommendations
  • Manage budget reconciliation and invoice processing for all event-related spend
