CIC is looking for a detail-oriented, client-focused, and proactive Events Coordinator to support our growing events program in Providence. This role is ideal for someone who thrives in fast-paced environments, enjoys working with people, and is excited about bringing high-quality events to life in a dynamic, mission-driven space. This is a full-time opportunity for someone with at least 1–2 years of professional experience in events, hospitality, or venue operations who is eager to grow their career within a collaborative and innovative organization. YOUR DAY-TO-DAY WORK You will work primarily with the onsite Providence team, collaborating with Regional and U.S. Directors of Events and other CIC teams across Operations, Marketing, and Sales. Responsibilities include: Coordinating event logistics from intake to execution, including quotes, payments, Certificates of Insurance, and clear communication of event details. Acting as an energetic ambassador for hosts and attendees, proactively troubleshooting issues during events. Setting up and managing AV equipment for events, livestreams, podcasts, and hybrid needs. Arranging furniture, maintaining event spaces, and ensuring they are secure, organized, and well-stocked. Engaging with guests to build relationships and enhance the client experience. Supporting CIC programming and internal projects that improve processes, training, or member experience. Using tools like HubSpot and Eventbrite to organize, promote, and track events, while staying informed on industry trends and sharing creative ideas. Other responsibilities as needed to support events, clients, and community needs. Work hours Events in Providence are dynamic and often extend beyond traditional business hours. Typical events occur between 8:00 AM and 9:00 PM, Monday through Friday and some weekends. Event Coordinators generally work 8-hour shifts within this window, though schedules may vary based on event needs. This role will also require supporting approximately one weekend event per month. Physical activities on the job This role requires frequent movement throughout event spaces, including lifting and moving AV equipment, tables, and chairs. You will also spend significant time working on a computer and navigating multiple platforms and documents. ABOUT YOU You are service-minded, accountable, and energized by working independently in a fast-paced environment. More specifically, as our ideal candidate, you are: Personable and relationship-oriented, with a natural instinct to help others. Organized and detail-driven, able to anticipate needs and manage multiple events calmly under pressure. A clear communicator, comfortable with AV technology (or eager to learn). Creative and solution-oriented, adaptable to last-minute changes. Results-driven and excited to contribute to Providence’s startup and innovation community, including working independently in the evenings when needed.
