About The Position

The Events Coordinator is responsible for the successful planning, organization, and execution of events for Hoag. This role demands creativity, attention to detail, and the ability to manage multiple projects simultaneously. The ideal candidate will possess excellent communication skills, a passion for event management, and the capability to work under pressure to meet deadlines.

Requirements

  • Bechelor's degree or a minumum of 2 years of progressive experience in event and brand and marketing with a demonstrated track record of success.
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and adapt to changing environments and demands.
  • Attention to detail and problem-solving skills.
  • Availability to work irregular hours, including evenings and weekends, as required by the event schedule.

Responsibilities

  • Develop comprehensive plans for various events, including timelines, venues, suppliers, legal obligations, staffing, and budgets.
  • Coordinate every aspect of events from conception to completion.
  • Source and negotiate with vendors and suppliers to ensure the highest quality of service while maintaining budgetary constraints.
  • Serve as the primary point of contact for event stakeholders, including clients, vendors, and internal teams. Ensure clear, timely, and effective communication across all parties involved.
  • Identify potential risks for each event and develop mitigation strategies to address them proactively.
  • Conduct thorough debriefs following events, including gathering feedback from participants and stakeholders. Utilize this feedback to compile reports and make recommendations for future events.
  • Collaborate with the marketing team to promote events and ensure high levels of attendance and engagement. This may include overseeing the creation of promotional materials and managing social media campaigns.
  • Oversee logistical aspects of events, including setup, transportation, accommodations, and scheduling, to ensure smooth operation.
  • Lead and motivate teams involved in the planning and execution of events. This may include internal staff and external contractors.
  • Performs other duties as assigned.
