About The Position

The Administrative Assistant will play a vital role in supporting the Events and Retail Marketing teams by ensuring seamless operations and organization. This individual will be responsible for managing data entry, report generation, maintaining inventory, and facilitating a strong culture to enhance efficiency within the department. They will oversee the verification of lead accuracy, maintain essential records, and facilitate effective communication within our department. Additionally, they will assist with ensuring we have a strong partnership with sales and the rest of our operation, office organization, and other administrative tasks to support the marketing team’s success. This role requires strong attention to detail, proactive problem-solving skills, and the ability to multitask in a fast-paced environment. The ideal candidate will embody our company’s culture and core values while demonstrating professionalism and reliability in all aspects of their work.

Requirements

  • Strong attention to detail and high level of organization
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and CRM software.
  • Flexibility and demonstrated ability to adapt well in a changing environment
  • Ability to work both independently and in a group
  • Available for flexible work hours M-F 9-5 with some evenings and some weekends as needed.

Responsibilities

  • Perform data entry for sweepstakes entries and maintain accurate records.
  • Verify lead generation data for accuracy and completeness.
  • Verify and perform data entry for payroll and bonuses.
  • Assist in special event coordination and administrative support.
  • Complete general administrative tasks to support the entire Event marketing team.
  • Build and generate reports for management.
  • Schedule team outings, lunches, and meetings for the team.
  • Maintain organization of event materials and marketing assets.
  • Order office supplies, marketing materials, and event essentials as needed.
  • Assist in drafting internal and external communications, such as emails and reports.
  • Prepare meeting agendas, take notes, and distribute minutes to relevant parties.
  • Assist in setting up events and home shows.
  • Other job duties as assigned
