About The Position

The Event Specialist is a critical support role behind Advisory Practice events. This is a hands-on position responsible for preparing, coordinating, and executing event details that enable the Event Manager to deliver a seamless, high-quality experience. You will work directly under the Event Manager, supporting live execution rather than owning the full event strategy. This role is focused on doing. You are operating within live environments, managing logistics, supporting guests, and ensuring every detail is handled with precision. You are not working independently. You are part of a team executing at a high standard. You will support day-to-day event execution across guest experience, logistics, materials, and coordination. Moments matter in this role. You are often the front line of the guest experience, and your ability to anticipate needs, solve problems, and go above and beyond directly impacts how attendees experience the event and how the brand is perceived.

Requirements

  • 3+ years of experience in events, hospitality, or operations, preferably in large-scale environments supporting 1,000+ person events
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities in a fast-paced, team-based environment
  • Excellent communication and professionalism in guest-facing situations
  • Comfortable working weekends and extended hours when needed
  • High ownership with a bias for action and willingness to handle repetitive or detail-heavy work
  • Technology and AI-forward mindset with willingness to learn new tools and systems quickly

Responsibilities

  • Own execution of event-day operations including registration, reception, guest support, and live coordination
  • Prepare and manage all event materials including badges, signage, printed assets, and attendee kits
  • Execute event setup, breakdown, and on-site logistics to ensure smooth operations
  • Coordinate with cross-functional teams to align on requirements and maintain clear communication
  • Identify and resolve issues in real time while maintaining composure under pressure
  • Track, manage, and restock inventory to ensure all materials are prepared ahead of events
