About The Position

We are seeking a detail-oriented, organized large-scale event project logistics manager to coordinate complex logistics in a dynamic environment for high-attendance and high-optic center and Agency events such as launches, high-level visitor and agency announcements, employee events, etc.  With articulate verbal and written communication skills, the event project logistics manager will collaborate with stakeholders throughout the planning phase, arrange for and oversee site set-up, identify resources and negotiate with vendors. This person will work with the contract business office to write requirements for Request for Proposals to source logistics and buses, ensuring costs stay within budget. The successful candidate will also be responsible for organization and oversight/direction of on-site execution and the safety of setups and tear downs. The event project logistics manager will be responsible for ensuring every logistical detail runs smoothly for the event from concept and planning  to completion.

Requirements

  • Organizing timelines, typically starting 6-12 months in advance for large events
  • Communication skills - primary liaison between stakeholders, vendors, and clients
  • Ensuring that vendors develop contingency plans for weather, technology, or security issues
  • Proficient with Excel, PowerPoint and SharePoint
  • Experience managing small and large events
  • Must become fluent in all aspects of KSC logistics such as gates and buildings
  • Must be willing to work weekends, nights and overnights as needed
  • Bachelor's degree in appropriate area of specialization from an accredited college or university; ten (10) years of relevant experience (e.g., event coordination/planning on a regional, multi-state, and/or national level); and
  • Proficient in: –advanced oral and written communications; –advanced writing and editing; and –advanced problem solving

Responsibilities

  • Review guest operations and media services requirements for buses and event set-up, work with the clients and design team to design the space and order/procure all logistics.
  • Participate in pre-event planning sessions to ensure all requirements are being met and on track.
  • Conduct post‑event after‑action reviews and publish lessons learned that improve future center/agency events (launches, agency announcements, employee events, etc.).
  • Make recommendations for logistics (ex: stages, lights, bussing, tents, parking logistics) and be able to independently source all needed services and rentals. Provide details to vendors for quotes, and work with the business office to procure services.
  • Be thoroughly familiarized with all areas and organizations at KSC to ensure smooth, seamless and efficient use of center resources in aiding event set-up.
  • Participate in all planning and status meetings as required, leading some meetings to review plans with the clients.
  • Participate on-site before, during and after the event ensuring smooth operation of logistical requirements, troubleshooting as required.
  • Translate plan requirements into RFP/RFQ scope; manage vendors (buses, tents/shade, signage, sound, lighting, golf carts) and enforce contingency planning.
  • Coordinate badging and vendor access in accordance with policies
