About The Position

The Event Producer is responsible for the successful execution and production management of events, including projects sold and designed by Senior Event Designers as well as smaller-scale events that the Producer may lead independently.  This role serves as the primary operational lead once a project transitions from sales and design into production. The Event Producer collaborates closely with Senior Event Designers, Event Assistants, internal departments, vendors, and venues to ensure events are delivered on time, on budget, and in alignment with the approved creative vision. Event Producers may also be assigned smaller-scale projects for which they will lead sales, design development, and execution, as directed by the Director of Sales.  This position may cross sell/refer all brands to clients including Kehoe Designs Décor, BlackOak Technical Productions, and The Geraghty. This position uses independent judgment and reports to and takes direction from the Director of Sales.

Requirements

  • Associates or Bachelors’Degree preferred.
  • 3years’experience insalesevent production (particularly in a creative or event décor industry).
  • StrongMicrosoft Word, Excelcomputer skills.
  • Ability to compute costs and analyze pricing and contract specifications.
  • Strong project management skills.
  • Ability to deal effectively with diverse individuals at all organizational levels.
  • Excellent customer service skills includingtactand diplomacy.
  • Proven ability to multitask and work in a fast-paced setting.
  • Demonstrated ability to share skills and knowledge with others.

Responsibilities

  • Serve as the primary production lead for events sold and designed by Senior Event Designers
  • Own all execution details following project handoff, including timelines, budgets,logistics, vendor coordination, and onsite management
  • Translate approved design concepts intoproductionwhile preserving the original creative intent
  • Lead internal production meetings tofinalizeevent details and execution strategy
  • Collaborate with the Senior Event Designer on client communication to ensure continuity, clarity, and a seamless client experience throughout the production phase
  • Act as the primary point of contact for execution-related communication, while keeping the Senior Event Designer informed and engaged on key decisions, changes, or client-facing updates
  • Proactively communicate with clientsregardingproduction timelines,logistics, and execution details, escalating design-related changes to the Senior Event Designer as needed
  • Manage venuelogisticsincluding walk-throughs, floor plans, power requirements, load-in/load-out schedules, and onsite coordination
  • Collaborates with Event Assistants to prepare all event-related paperwork andpull-sheetson time and with accuracy.
  • Attend events asrequiredto oversee setup, execution, and strike, ensuring quality, accuracy, and client satisfaction
  • Lead sales, design development, and execution forassigned projects, asdeterminedby the Director of Sales
  • Meets with clients to conceptualize and develop event design themes and styles and secure event business.
  • Collaborates with other Event Designers and Department Creatives as needed to develop event themes and designs.
  • Prepare proposals, pricing, and contractsin accordance withcompany guidelines
  • Secure client commitments including signed contracts, deposits, and payment schedules
  • Writes and negotiates profitable proposals and sales presentationswithin accordanceofcompany guidelines.
  • Secures client commitmentregardingdown payment, signed contracts, and future payments according to department standards.
  • Determinesall rental items needed for execution of event andfacilitatesorder with vendors, working directly with venue staff and clients.
  • Show continuous growth and innovation to develop unique original designs.
  • Meets and exceeds target sales volume each year, and if applicable, new business sales goals each year.
  • May cross sell/refer all brands to clients including Kehoe Designs Décor,BlackOakTechnical Productions, The Geraghty and Floral Exhibits
  • Understands inventory components and pricing, how inventory components relate to each other, inventory quantities, and naming conventions.
  • Understands navigation throughevent planning softwareto find and “pull” inventory items.
  • Maintain strong relationships with repeat and referral clientsandmaintainscooperative work relationships with all internal departments andexternalclients.
  • Demonstrates continuous effort to improveoperations,increase profitability,decreaseturnaround times, streamline workprocesses,and work cooperatively and jointly to provide quality, seamless eventproductionand design.
  • Complies withdepartment and company safety guidelines, procedures,rules,and training expectations.
  • Establishes safety guidelines andexpectations andensures that stafffollowsall company and departmental safety guidelines,procedures,and rules.
  • Mentors safe work practicestoco-workers andteam.
  • Interfaces professionally with all people,internalandexternal, in a kind and respectful manner
  • Tracks and enters time and assigns hours and tasks toappropriate eventsand jobs in time and attendance system. Ensures staff do the same.
  • Completes all Human Resources and Payroll tasks and notifications through the Employee Self Service Online Portal on a weekly basis, as directed and within established timelines. Ensures staff does the same.
  • May perform other duties asrequired.
