About The Position

The Event Planning Coordinator will assist in the planning, promotion, and execution of summer outreach events, including Pride Month events and Overdose Awareness Day. The position is part of a busy Bureau that works closely with marginalized communities, including but not limited to people who use drugs (PWUD) and people experiencing homelessness. The coordinator will work closely with BADU staff, the BADU LGBTQ+ Equity workgroup, syringe services programs, community-based organizations, and community partners.

Requirements

  • Experience planning or coordinating events of a variety of sizes
  • Proficiency in Microsoft Office suite
  • Experience managing multiple tasks simultaneously and managing projects
  • Ability to work in multicultural settings with racially, ethnically, and socioeconomically diverse populations
  • Ability to work independently and as part of a team
  • Excellent interpersonal, organizational, written and verbal communication skills
  • Comfortable communicating by phone, email, virtually, and in-person
  • Proficiency in facilitating and note-taking for planning meetings
  • Proficiency in managing supply inventory
  • Ability to work in the community and travel as required
  • Physical Requirements: Ability to stand for extended periods of time, lift 50 lbs, and work in outdoor environments. Reasonable accommodations will be made for qualified individuals with disabilities.

Nice To Haves

  • Knowledge of substance use and behavioral health issues, including harm reduction practice and theory, overdose prevention, syringe exchange, and education for HIV and hepatitis C prevention
  • Competency conducting outreach and providing overdose prevention education, education around substance use, and naloxone trainings with people who use drugs, providers who work with people who use drugs, and community members
  • Familiarity with sexual health and substance use issues and trends among the LGBTQ+ community in New York City
  • Strong administration and organizational skills related to project management and implementation

Responsibilities

  • Directly support BADU staff in event planning and promotion
  • Manage administrative tasks and logistics, including but not limited to developing draft flyers, emails, meeting agendas, scheduling meetings, and calling event partners
  • Attend outreach events in all five boroughs in June and remain on call for day-of support
  • Assist on-site during community events and act as main point of contact
  • Support the assembly of outreach materials such as naloxone kits, fentanyl test strip kits, and backpacks
  • Tracking supplies for all events, and managing invoices and storage and transportation of supplies
  • Other duties as assigned to support the overall goals and mission of the department/ organization.
