We are seeking a Event Manager to become an integral part of our Hospitality team.

Requirements

• 5+ years of experience as Event Manager, public activations, branding/marketing campaigns or equivalent experience.
• Agency or corporate event experience preferred.
• Position requires sitting or standing for long periods of time, lifting up to 30 pounds, extensive use of a computer, driving an automobile and personal automobile available for business use (mileage is reimbursed), occasional national travel with out-of-town stays as long as seven days (sometimes longer), and non-disclosure agreement.

Responsibilities

• Manage and, at times, support client programs while reporting to the Director of Hospitality.

• Food & beverage curation & management
• Hotel room block management
• Transportation booking/coordination
• Event registration websites
• Program organization/planning
• On-site management
• Serve as liaison between the Account Manager/Project Manager and suppliers for the duration of the event.
• Adding value to the client by advising best practices, cost savings and staying within budget
• Keeping track of budget items as necessary during the planning stage and assisting in preparing final billing
• Independently able to proof documents, conduct venue research, cross-check lists, prepare materials, correspond with hotels, food & beverage vendors and ground transportation companies, build and maintain attendee communication and event registration system, etc.
• Sourcing venues/sending RFPs for various clients and summarizing your research in a PowerPoint presentation
• Working directly with venues/ground transportation companies/F&B vendors and other various third-party vendors to negotiate costs, arrange for services and ensure all details are correct
• Building registration websites in Swoogo (and possible other platforms like CVENT) and be a leader/advisor regarding best practices within these domains as well as training others
• Responding to attendee emails and requests in a timely manner
• Making arrangements for ancillary meetings associated with larger programs and being comfortable working with high level VIP’s
• Utilizing preferred vendors for quality of service and maximum pricing leverage/compliance
• Maintaining the highest level of quality, professionalism and integrity when negotiating with suppliers and interacting with clients and co-workers
• Adhering to all deadlines, timelines & compliance requirements
• Determining and arranging all detailed program needs (i.e. set-up and manage event registration system, meeting room set-up, function times, basic audio-visual needs, menu selections, on-site/off site events and activities, DMC operations, special events, ground transfers, room deliveries, room blocks and rooming lists, and VIP needs--prepare and provide client with timeline outlining all planned program details)
• Ensuring internal and external reporting requirements are met
• Monitoring and reviewing supplier billing and ensuring timely payment and reconciliation
• Reconciling programs in a timely manner, in accordance with For Good & Company and client standards
• Assuming other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position and that add value
• Close cooperation & partnership with Account Managers, Project Managers and Producers
• Building strong partnerships with vendors and contractors nationally and internationally
• Managing multiple programs/ event components simultaneously
• Basic knowledge of AV needs and equipment
• Basic knowledge of event compliance strategies
