About The Position

Reporting to the Senior Director, Operations and Events, the Event Manager is responsible for the oversight and management of the Facility Rentals sales and services; and will develop sales initiatives to promote, market and sell Museum events in addition to other supportive product lines. Beyond overseeing and managing the event sales and services, the event manager is also responsible for all administrative procedures related to Facility Rentals including, but not limited to proposals, contracts, invoicing, financial reporting, receivables and communication with the Museum’s caterers. The Event Manager will be heavily involved in networking with DFW event planners, corporate planners, VisitDallas and the wedding market. The Event Manager will also create and maintain effective working relationships between the Perot Museum and the Museum’s partners and preferred vendors within the event industry. The Event Manager will be active and positive with interactions which contribute to a high performance and cohesive teamwork culture within the Museum and Sales Department through customer advocacy, sustained revenue achievement, optimizing profitability, communication and team participation. The event manager is responsible for adhering to the Perot Museums standards of excellence in customer service and ensuring guests satisfaction. The Event Manager is expected to have the availability to manage and support all Museum events which may include working nights, weekends and some holidays.

Requirements

  • A Bachelor’s Degree in Business, Communications, Public Relations, Marketing or Hospitality Management or a Museum-related field or at least 8 years of successful experience in a leadership sales and event role.
  • Two to five years of successful sales and customer service.
  • Microsoft Outlook – email and calendar functions.
  • Microsoft Word – write letters; update, save and email documents.
  • Microsoft Excel – create and maintain basic Excel worksheets.
  • Effective management and organizational skills, outstanding interpersonal skills and demonstrated ability to interface at all levels of an organization.
  • Previous experience in a position which required developing plans, organizing work and achieving excellent results on schedule and on budget.
  • Effective presentation and communication skills, both written and oral.
  • Proven skills and ability as a self-starter, with the ability to work effectively in a role that requires multitasking and networking.

Responsibilities

  • Hire, train and develop Event Staff.
  • Responsible for the management of event staff to ensure quality operations and fiscal responsibilities.
  • Create and develop Birthday party events.
  • Be open to flexible work schedule that will include nights, weekends and holidays.
  • Ensure event activities follow all rules and requirements of the Museum, including those in the Policies & Procedures agreement, and the ordinances and statutes of Dallas County, the City of Dallas or any other governmental body, and all other laws, codes, ordinances, rules and regulations governing the Museum.
  • Work with Senior Director of Operations and Events to manage the Museum’s yearly fundraiser, Night at the Museum.
  • Work in conjunction with Reservations, Catering and Operations to coordinate space reservations and other needs for set up.
  • Work to maintain the highest quality standard for the communication between client and Museum staff.
  • Consistently participate in the re-booking of repeat business by having a track record of long term client relationships.
  • Actively participate with industry related organizations.
  • Thorough knowledge of sales techniques including strong closing skills as well as negotiating skills.
  • Excellent creative skills to provide innovative set-ups, décor, and functions for groups.
  • Work closely with catering department on operations and event execution - ability to quickly evaluate alternatives and decide on a plan of action.
  • Provide overall direction, coordination, and ongoing evaluation of events.
  • Ability to sell Audio/Visual and rentals equipment and utilizing Audio/Visual and rentals equipment as a profit center.
  • Ability to work with outside vendors to ensure client satisfaction for all events/groups.
  • Responsible for ensuring all policies, procedures and guidelines are followed by department personnel.
  • Responsible for all administrative duties which are necessary in the functioning of the department.
  • Responsible for anticipating needs, forecasting results, analyzing and arranging work processes for personnel in the department.
  • Maintain a monthly budget and visitor feedback report to the Senior Director of Operations and Events.
  • Maintain the museum calendar, catering communications, birthday party communications and other calendars as assigned.
  • Must meet or exceed planned budget and be proactive in promoting additional sales.
  • Work in conjunction with the other Event Manager to coordinate supervision and oversight for each event and be available to manage operational issues that may arise.
  • Answers guest calls and emails promptly and return all messages within the business day.
  • Be proactive in responding to concerns or issues from our patrons or staff.
  • Responsible for maintaining the highest quality standards for scheduled events.
  • An understanding of both monthly forecasting and the annual budget process with the ability to create and manage budgeting of revenue and expenses.
  • Collects all deposits and payments on time and in accordance with company policies.
  • Comply with attendance rules and be available to work on a regular basis.
  • Other duties as assigned by the Senior Director of Operations and Events.
