Requirements

  • Ability to adapt quickly to change and maintain a flexible approach when providing customer support.
  • Able to remain mobile for extended periods during work day.
  • Able to work a flexible schedule to include evening and weekend hours.
  • Must be able to lift 50 pounds.
  • Work experience with reservation software platforms
  • Catering or other food service-related experience
  • Communications, Event Planning or Hospitality background

Responsibilities

  • Manages and books reservation requests for events and high-level meetings; maintains room schedules through EMS system.
  • Responsible for responding and processing all incoming event and high-level requests.
  • Plan, organize, and execute a high volume of corporate events, including conferences and meetings.
  • Collaborate with clients to understand their event objectives and preferences.
  • Be well versed in policies and procedures and provide excellent customer service while adhering to those policies.
  • Manage multiple events simultaneously, ensuring all deadlines and deliverables are met in this fast-paced environment.
  • Provide seamless management of meetings and events with very high-level customer service.
  • Expertise in VIP level, complex events with high visibility
  • Demonstrates outstanding leadership, expertise, management, and consultation skills when conducting business with clients, vendors and to the internal team.
  • First point of contact for the GCSD lead regarding any event coordination.
  • Schedule appropriate interdepartmental/vendor meetings for the operational aspects of coordinating conference/meeting requirements, which include pre-planning meetings or a pre-conference meeting for specific events.
  • Provides consultative event coordination services to clients as required.
  • Responsible for room setups; assuring room configurations are correct.
  • Oversees breakdown of event space making sure to return to its standard setup
  • Maintains daily/weekly schedule boards and/or digital signage displays.
  • Receives shipped materials; serves as point of contact for stored materials; ensures materials are delivered to the meeting room as designated.
  • Identifies and reports onsite building repairs to the Community Management team.
  • Responsible for compilation and sending of customer surveys using designated EMS online tool.
  • Develops and maintains working relationships with vendors (i.e. on-site security, porters, in-house caterers where applicable, etc.)
  • May led, manage, or provide subject matter expertise for projects and initiatives.
  • Manages customer request emails sent to shared mailbox.
  • Modifies reservations as needed and/or requested by clients.
  • Ensure proper scheduling for event/meeting coverage
  • Train and ensure proper coordination of assignments in the absence of the Conference Manager
  • Mentor associates with event or meeting coordination as apart of their training and development toward career progression.
  • All other duties as assigned.
