About The Position

The Global Executive Engagement Team is seeking a highly organized and detail-oriented Team Operations & Event Coordinator with strong communication skills to lead team operations and support Event Leads in delivering elevated executive engagement experiences for a global C-level audience. This role collaborates closely with senior internal stakeholders and cross-functional teams to ensure best-in-class engagement across all stages of program delivery, including production, attendee engagement, and project coordination. The ideal candidate will ensure programs are well supported, inspire target audiences, and reflect a world-class global brand experience.

Requirements

  • 2–4 years of experience in events, marketing, hospitality, or related field
  • Excellent verbal and written communication skills; comfortable supporting stakeholders at all levels
  • Highly organized, proactive, and self-motivated with strong attention to detail
  • Experience supporting complex programs with tight timelines and competing priorities
  • Strong executive presence; comfortable interacting with senior leaders (internal and external)
  • Enthusiasm for event planning and willingness to support a wide range of tasks
  • Exceptional proficiency in modern workplace productivity and collaboration tools (documents, spreadsheets, presentations, calendaring, project management, and AI-enabled tools)
  • Ability to work extended hours including evenings, weekends, and holidays as required
  • Availability to support key event dates throughout the year
  • Willingness to travel domestically and internationally as needed

Responsibilities

  • Lead operational functions of the Executive Engagement Team, including:
  • Manage team budget, forecasting, contracts, payments, and vendor relationships
  • Support governance processes by organizing and documenting team meetings and tracking action items (weekly syncs, quarterly retrospectives, cross-functional planning sessions)
  • Maintain team knowledge base, including file organization, strategy materials, data management, and playbook updates
  • Provide general project and administrative support, including research, executive event calendar management, template creation, and internal communications
  • Support executive events (both owned and third-party) to ensure seamless execution of engagement programs:
  • Assist Event Leads with end-to-end project support including kickoff meetings, site visits, event data management, vendor communications, stakeholder correspondence, and logistics coordination
  • Plan and execute event components such as activities, transportation, accommodations, catering, and signage
  • Manage event budgets including forecasting, purchase orders, invoicing, contracts, and vendor onboarding
  • Support onsite execution and post-event reconciliation
  • Provide onsite executive support including guest welcome and registration, material distribution, and continuous support throughout the event
  • Programs may include annual flagship conferences, global marketing or innovation summits, industry conferences, partner events, sporting and cultural events, and curated executive dinners
