About The Position

MEETING SACRIFICE WITH HOPE SINCE 2007. It began with Lt Col Dan Rooney’s flight home from his second tour of duty in Iraq. An F-16 fighter pilot in the Oklahoma Air National Guard, he became painfully aware of the realities families face when a loved one in uniform is fallen or disabled. As his flight landed, the pilot announced they carried the remains of Corporal Brock Bucklin on board. Lt Col Rooney watched as Corporal Bucklin’s twin brother walked somberly alongside the flag-covered casket to meet his family on the tarmac. Among them was the deceased Corporal’s young son, Jacob. Since that night, Lt Col Rooney has committed his life to rallying patriotic Americans and meeting sacrifice with hope through the Folds of Honor. Since 2007, we’ve provided life-changing scholarships to the spouses and children of America’s fallen or disabled military. And now, our mission expands to the families of America’s first responders. On our watch, those who protect our freedoms and our families will know they are not forgotten. Through education we meet sacrifice with hope. Folds of Honor Foundation TITLE: Event Coordinator FLSA: Exempt FUNCTION: Corporate Development REPORTS TO: Director of Event Planning TRAVEL REQUIREMENTS: Up to 25% LOCATION: FOH HQ Office (Owasso, OK) JOB FAMILY: Development PRIMARY JOB FUNCTION: The Event Coordinator supports Folds of Honor events, both national and Chapter, as needed by providing strategic direction, efficient reporting, and best practice sharing. This role will focus most of its time on Chapter event support with ad hoc requests as needed and approved by management. These functions are accomplished by researching, designing, planning, and coordinating Folds of Honor internal and external events to ensure smooth operation from the beginning planning stages through the actual event. This includes, but is not limited to, meeting with clients as needed, food, entertainment, staff and cleanup. The Event coordinator will use their organizational skills to manage the logistics of multiple events simultaneously.

Requirements

  • Bachelor’s degree (preferred) with 3-5+ years of event planning experience required
  • Previous event planning experience.
  • Ability to work well and resolve issues with all levels of internal management, staff, outside clients and vendors.
  • Must be able to operate a variety of office equipment, including demonstrated ability to use Outlook, Word, Excel, Teams and other web-based platforms.
  • Must be able to effectively communicate in English both verbally and in writing
  • Detail-oriented, highly organized and deadline driven
  • Demonstrates ability to perform as a team collaborator.
  • Demonstrates ability to communicate effectively across teams and multiple projects simultaneously without delay.
  • Ability to prioritize and adapt to change.
  • Project management experience preferred.
  • Mobility to travel in and around office surroundings; ability to travel out
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

Responsibilities

  • Work as part of a team to implement Event Management System (OneCause) effectively across the Foundation working collaboratively across departments.
  • Manage the Event Management System platform for Folds of Honor Foundation, including but not limited to event setup in system, ongoing updates, tracking and reporting to event organizers.
  • Setup and maintain ongoing trainings for event organizers (Chapter and national), e.g. OneCause tutorials, event and auction best practices, etc.
  • Build and maintain event best practices and sharing.
  • Project lead for national event calendar, including inputting all events, managing events and updates.
  • Accountable as first line of response to all inquiries including emails and phone calls with fast response time.
  • Complete a needs assessment per event request and identify priority support needed, in association with management.
  • Maintain a working relationship with Chapters, vendors and venues.
  • Understand the complex needs of different events, and diverse clients.
  • Coordinate event entertainment, including music, performers, and guest speakers, as needed.
  • Attentive to the value of staying under budget while planning event specifications.
  • Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing take-down.
  • Communicate with marketing team to create effective advertisements for events.
  • Anticipate and plan for possible different scenarios.
  • Demonstrate communication skills, and the ability to present event ideas and plans to client and vendors.
  • Manage all backend coordination for events as requested (Chapter and national) by reviewing strategic needs across the Foundation.
  • Attend events only as needed, approved by management.
  • Perform other duties as assigned.
