About The Position

The Event & Content Assistant plays a key support role in assisting with the execution of internal and external events while contributing to the organization’s digital content and communications efforts. This position operates within the Communications and Program Administration team and reports directly to the Chief of Communications & Program Administrator, who leads all organizational events and communications strategy. This is a hands-on, execution-support role designed for someone who thrives in fast-paced environments and is willing to step into whatever is needed to support team success. Much of this role focuses on assisting with event logistics, on-site support, and preparation, with additional responsibilities in content creation and communications support. This role is part of a broader events team. The Assistant is responsible for supporting assigned tasks and deliverables but does not hold responsibility for overall event planning, coordination, or execution leadership. This position will work Monday – Friday with flexibility for evening and weekend events.

  • 1–3 years of experience in events, communications, marketing, or related field.
  • Valid California Driver’s License and vehicle available for transportation.
  • Ability to lift, move, and set up event materials such as tables, chairs, signage, and supplies. This may require lifting to a minimum of 25-35 lbs. at times.
  • The position requires the ability to stand and walk for long periods during events, including overseeing on-site activities, interacting with volunteers and guests, and ensuring smooth event operations.
  • The role may require occasional transportation of event supplies or materials to and from venues, requiring the ability to load and unload materials from vehicles.
  • Availability to work evenings and weekends for event support as needed.
  • Must be able to work on computers for extended periods, including tasks such as managing event schedules, creating outreach materials, coordinating volunteer assignments, and communicating via email or project management tools. This will involve frequent use of screens and may require long periods of focused computer work.

Nice To Haves

  • Experience supporting events in a professional or volunteer capacity preferred.
  • Experience or interest in creating short-form video content or willingness to learn.
  • Proficiency in Canva or similar design platforms preferred.
  • Ability to work collaboratively across teams and support shared goals.

Responsibilities

  • Assist with the implementation of internal and external events, including fundraisers, community events, outreach activities, and internal staff events.
  • Support end-to-end event logistics, including venue coordination, catering, permits, materials, signage, timelines, and run-of-show, while providing hands-on assistance during setup, registration, live execution, and breakdown to ensure seamless operations.
  • Support event team members in real time by stepping into assigned roles and adjusting as needed
  • Capture photo and video content during events for communications and social media use.
  • Remain flexible and responsive to changing needs, supporting wherever needed to contribute to successful event execution.
  • Design and prepare event-related outreach materials using Canva or similar tools, including flyers, signage, and social media graphics.
  • Assist in the creation of social media content across platforms, as needed.
  • Collaborate with the communications team to brainstorm and support timely posts or campaign content tied to community events or engagement initiatives.
  • Other miscellaneous duties as assigned.
  • Capture and create short-form video content (Reels, Stories, TikTok-style), primarily tied to events and organizational activities.
  • Assist in editing and preparing content for social media platforms including Instagram and Facebook.
  • Identify and capture content opportunities during events and day-to-day activities.
  • Collaborate with the communications team to ensure consistency in branding and messaging.
  • Assist with communications efforts tied to events, campaigns, and community engagement initiatives.
  • Provide administrative support including scheduling, coordination, and preparation for meetings and projects.
  • Maintain shared calendars related to events, outreach, and communications activities.
  • Support general operational needs of the Communications and Program Administration team.
  • Assist with organization and tracking of event materials, including storage and accessibility.
  • Support the upkeep of an organized inventory system.
  • Identify low inventory, damaged items, or gaps and communicate needs appropriately.
  • Contribute to maintaining clean and organized storage spaces.
  • Represent the organization professionally at community events and outreach opportunities.
  • Engage with community members and partners in alignment with the organization’s mission and values.
  • Support team efforts to increase visibility and awareness through in-person engagement.
