About The Position

Are you organized, detail-oriented, and passionate about bringing people together? The Event Assistant supports the planning and execution of impactful community and employee events across Harris County. From logistics to setup, vendor coordination to post-event follow-up, you'll play a key role in ensuring every event runs smoothly and reflects the values of Precinct One. You'll work alongside a collaborative team, engage with diverse community members, and contribute to events that uplift and inform.

Requirements

  • High school diploma or GED.
  • Minimum of 2 years of related experience in event coordination, administrative support, hospitality, or logistics.
  • Knowledge of Event planning principles, logistics coordination, and best practices.
  • Knowledge of Basic marketing, outreach, and promotional strategies for event engagement.
  • Knowledge of Budget tracking, inventory management, and materials handling.
  • Knowledge of Office productivity tools and logistics systems (e.g., Microsoft Office Suite, LMIS).
  • Skill in Coordinating logistics and handling multiple tasks simultaneously.
  • Skill in Communicating effectively with diverse audience staff, vendors, and constituents.
  • Skill in Managing time efficiently and prioritizing responsibilities in a fast-paced environment.
  • Skill in Handling confidential information with discretion.
  • Ability to Follow detailed instructions and take initiative when appropriate.
  • Ability to Work effectively both independently and as part of a team.
  • Ability to Problem-solve in real time during event setup and execution.
  • Ability to Lift event materials and participate in physical tasks related to setup/breakdown.

Responsibilities

  • Event Planning Support: Assist in creating and maintaining event timelines, goals, and objectives in alignment with the direction of the Events Coordinator/Planner. Support the development of event themes, concepts, and branding. Coordinate pre-event logistics, including vendor communication and planning meetings. Participate in walkthroughs and pre-event site assessments.
  • Logistics and Vendor Coordination: Assist with coordinating services such as catering, A/V, décor, entertainment, and rentals. Track and help manage event-related contracts, service agreements, and delivery schedules. Liaise with vendors to ensure timely arrival, setup, and compliance with event requirements.
  • Budget and Inventory Management: Track event expenses and assist in managing event budgets under the direction of the Events Coordinator/Planner. Maintain inventory of event materials, promotional items, and supplies. Utilize the LMIS (Logistics Management Information System) to process inventory tracking, equipment logs, and work orders.
  • On-Site Event Execution: Support physical setup and takedown of decorations, tables, signage, and other event components. Provide on-site logistical support and problem-solving during events. Greet and assist guests, volunteers, vendors, and staff as needed. Document event activities and assist with post-event follow-up tasks such as evaluations and acknowledgments.
  • Other Duties as Assigned: Perform administrative, clerical, or departmental support tasks as needed to assist the Events Coordinator/Planner and the broader Community Affairs and Advocacy team.
