About The Position

Horizon Commercial Pools is a growing and respected commercial swimming pool company. We’re looking for a detail-oriented Estimating Assistant to support our estimating, renovation, and finishing teams. This role is ideal for someone who enjoys organization, customer interaction, and helping projects move from concept to completion. You’ll play a key role in preparing quotes, supporting job setup, coordinating materials, and keeping project information accurate and up to date. If you like working behind the scenes to keep things running smoothly — while still having customer and field exposure — this role is for you.

Requirements

  • Previous support experience in an administrative capacity specifically in the construction and estimating industry
  • Strong organizational skills and attention to detail.
  • Clear communication skills and a customer-service mindset.
  • Ability to manage multiple tasks and shifting priorities.
  • Comfort working with digital systems, templates, and documentation.
  • Willingness to collaborate with estimators, sales, project managers, and field teams
  • Detail-oriented with a strong focus on accuracy and follow-through
  • Background in estimating and/or construction
  • Proficient in Microsoft Excel and Word
  • Strong organizational and time-management skills
  • Ability to manage multiple projects and shifting priorities
  • Clear written and verbal communication skills
  • Analytical mindset with the ability to interpret plans, scopes, and data
  • Comfortable working cross-functionally with operations, sales, and field teams
  • Self-motivated with the ability to work independently and take initiative
  • Problem-solving skills with a proactive, solutions-focused approach

  • Experience with NetSuite and Buildertrend is a plus

Responsibilities

  • Assist with estimating projects and preparing budgets and customer quotes.
  • Format quote templates using existing template catalogs.
  • Enter customer information, add photos, and ensure quotes are complete and accurate.
  • Create small quotes for minor projects (e.g., equipment replacements, media changes, small repairs).
  • Record estimates, quotes, and job data in NetSuite.
  • Compile job information into organized digital job folders for Renovation and Finishing teams.
  • Assist with writing subcontractor and equipment purchase orders.
  • Write change orders for customers as project scopes evolve.
  • Order specialty materials for projects (e.g., tile and plaster).
  • Line up trade partners as needed to support project execution.
  • Participate in site inspections to gather information for accurate estimates.
  • Meet with customers to review project needs and explain the process.
  • Follow up with customers on expired or pending quotes to help move projects forward.
  • Assist Estimators with challenging situations to achieve successful outcomes.
  • Maintain accurate customer records, contact information, and existing equipment details.
  • Verify State permit-related information is completed when required.
  • Update NetSuite records with new or corrected information gathered from job sites.
  • Verification of all supporting job documentation are accurately listed and available for the Project Managers.
