The role is critical in ensuring timely and accurate communication to our customers and ensuring high customer satisfaction. The ideal candidate has a passion for customer service, loves problem solving together with the operations team, enjoys getting small wins every day and engaging others, has a positive mindset and a can do attitude.

Requirements

  • Excellent written and verbal communication skills with a customer-centric mindset.
  • Strong problem-solving skills and ability to collaborate cross-functionally.
  • Proficiency with Excel (workbooks, basic formulas, data tracking).
  • Experience with ERP systems (AS400/BPCS or similar), customer portals, order acknowledgments, changes, and invoicing.
  • Ability to manage multiple priorities in a fast-paced manufacturing environment.
  • Willingness and ability to grow into supply chain, purchasing, and operational knowledge areas.
  • This position requires use of information which is subject to the International Traffic in Arms Regulations (ITAR), Export Administration Regulations (EAR), and Nuclear Regulatory Commission (NRC). All applicants must be U.S. persons as defined by 22CFR120.15.

Responsibilities

  • Enter and manage customer orders and quotations, ensuring accuracy, compliance, and on-time confirmation.
  • Follow up on customer quotations, track conversion success, and support commercial insights.
  • Serve as a communication bridge between customers and operations, proactively managing expectations on lead times, substitutions, and delivery risks.
  • Work with internal scheduling to validate production capacity, lead times, and shipping estimates prior to order confirmation.
  • Communicate and secure customer approval for product substitutions or delivery adjustments as needed to meet service objectives.
  • Support shipping and logistics teams to ensure on-time pickups, documentation accuracy, and invoice completion.
  • Print, send, upload, and track invoices in accordance with customer-specific requirements.
  • Track available, excess, or stagnant inventory and communicate opportunities or risks to sales and operations.
  • Support purchasing activities by coordinating material requirements aligned with customer demand and production schedules.
  • Assist in supplier evaluation and performance tracking, including: On-time delivery Quality performance Responsiveness and issue resolution
  • Participate in supplier development initiatives, collaborating with procurement and operations to address delivery, quality, or capacity gaps.
  • Maintain purchasing and supplier-related data in ERP systems and tracking tools to support informed decision-making.
  • Develop working knowledge of production scheduling and capacity planning to better support realistic customer commitments.
  • Participate in production meetings, Gemba walks, and operational reviews, translating shop-floor insights into actionable customer communication.
  • Identify recurring service or supply issues and contribute to root-cause analysis and process improvement efforts.
  • Track and report customer service and supply chain KPIs (OTD, lead time accuracy, inventory aging, supplier performance).
  • Support site safety initiatives, ThinkSafe objectives, and continuous improvement culture.
  • Understand and execute Export Compliance requirements (ITAR, EAR, NRC), including end-user checks and international shipping documentation.
  • Handle Department of Defense quotations and orders while adhering to CUI and regulatory requirements.
  • Ensure all documentation, communication, and system entries comply with regulatory and company standards.
