Requirements

  • High school diploma required.
  • Valid state driver’s license and a satisfactory driving record required.
  • Must be 18 years of age or older.
  • Must pass pre-employment physical, drug screen, and criminal background check.
  • Adherence to safety requirements as outlined in the Employee Handbook.
  • Ability to work collaboratively in a team environment and assist colleagues as needed.
  • Willingness to travel and work away from home as required.
  • Flexibility to work nights and weekends when necessary.
  • Familiarity with safety policies and procedures.
  • Excellent verbal and written communication skills.
  • Proficient in operating office equipment such as computers, copiers, and printers.
  • Strong proficiency in Microsoft Excel and Word.
  • Ability to independently analyze issues and solve problems.
  • Ability to perform effectively under deadlines.
  • Capacity to understand and follow complex instructions.
  • Reliable and consistent attendance.
  • Ability to stand, walk, use hands and fingers, talk, and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.
  • Frequent sitting and use of hands; frequent standing and walking for extended periods.
  • Standard office environment with a fast-paced tempo and deadlines.
  • Moderate noise levels in some areas.

Nice To Haves

  • Prior experience in equipment departments and construction environments preferred.
  • Bilingual skills preferred.

Responsibilities

  • Provide essential administrative support to the Regional Equipment Manager.
  • Upload daily equipment meter readings from Trakit and Infield; promptly report issues to field operations.
  • Manage vehicle tag renewals and distribute them before expiration to ensure compliance; set up new vehicles with proper tags and process taxes.
  • Coordinate with Liberty Mutual, reporting tagged vehicles by state and class, and distribute new insurance cards annually.
  • Ensure all vehicle registrations are current and correctly assigned; distribute copies of registrations as needed.
  • Order and replace Wright Express fuel cards, set up drivers on the WEX system, and prepare monthly WEX detail reports.
  • Maintain accurate PikePass system information, set up new passes, manage replacements, update reporting spreadsheets, and ensure account payments.
  • Prepare monthly Safety Miles Report for Operating Companies.
  • Input monthly Delivery Utilization entries in ViewPoint.
  • Code invoices for Overweight Permits and ensure timely payments.
  • Log bulk fuel purchases for APAC-Central and Standard Materials Group; provide visibility to fuel prices for the team.
  • Assign asset numbers for new equipment in CMMS and complete Fixed Asset forms for acquisitions and disposals.
  • Process asset disposal forms with finance.
  • Prepare annual asset location listings for tax purposes.
  • Support the Regional Vehicle reimbursement program (Motus).
  • Compile and distribute Equipment Inventory sheets annually for each shop and market area.
  • Maintain a professional demeanor in interactions with employees and state agencies.
  • Perform additional duties as assigned to support operations.
