About The Position

Provides technical support to standardize and streamline the use of the DMS/ECM software applications that support CCI North American Operations. Evaluates and confirms that external and internal data/information requirements are configured in key business software applications to meet the needs of end-users.   Provide project support to IT Department related CCI improvement initiatives. Maintain open communication with all levels of management.

Responsibilities

  • Facilitate brainstorming sessions to flush out current/future state designs alternatives and to define potential changes to the use of key business software applications.
  • Conduct pilot tests to assess end-user performance issues/concerns, and to determine training requirements for the use of key business software applications.
  • Develop application instructions, job aids and/or work instructions to communicate new procedures and changes to the use of key business software applications.  Provides on-the-job training to stakeholders and/or end-users on an as-needed basis.
  • Investigate end-user questions and/or problems; facilitates timely response until resolution.
  • Participate in and support capacity planning and the development of long-term strategic goals for systems and software in conjunction with end-users and department managers.
  • Manage DMS/ECM end user accounts, permissions, access rights, and storage allocations in accordance with best practices regarding privacy, security, and regulatory compliance.
  • Proactively identify opportunities to improve workflow and processes
  • Ensure releases/updates to the Enterprise Data Management System are functionally validated and communicated to all appropriate stakeholders
  • Build/configure workflows within ECM Software System
  • Facilitates the process for change management and ensures that each change follows the complete procedure to ensure minimum disruption to IT services. 
  • Ensures that changes are logged, prioritized, categorized, assessed, authorized, planned, and scheduled, and are introduced in a controlled and coordinated manner.
  • Liaises with all necessary parties to coordinate change building, testing, and implementation, in accordance with schedules.
  • Whenever changes are implemented, updates the solution and user documentation and the procedures affected by the change accordingly.
  • Work with third parties, IT personnel and key business stakeholders to ensure that company equipment, systems, services, and facility are compliant with disaster recovery plans and procedures.
  • Maintain appropriate levels of communication regarding project status with management, project team members and end users.
  • Execute assigned project tasks as assigned and report and track project milestones and deliverables. 
  • Establish a process to complete the planning and implementation of an ECM software system in a standalone and ERP integrated setting
  • Collaborate with the key internal/external stakeholders and other Information Technology staff to determine requirements for standardizing and/or streamlining key business systems.
  • Conduct interviews with internal stakeholders and work with the project team to gather user and prioritize user requirements.
  • Assist in conducting research on software and hardware products to meet agreed-upon requirements and to support purchasing efforts.
  • Analyze and verify requirements for completeness, consistency, comprehensibility, feasibility, and conformity to CCI standards.
  • Where applicable, develop prototypes of interfaces and attributes based on the user requirements.
  • Assist with the interpretation of user requirements into feasible options and communicate these back to the business stakeholders.
  • Communicate changes, enhancements, and modifications of business requirements – verbally or through written documentation – to project managers, sponsors, and other stakeholders so that issues and solutions are understood.
  • Submit accurate and timely reports on a weekly or monthly basis documenting status of tasks assigned to the IT Solutions Architect and VP of Supply Chain and IT Operations.
  • Provide back-up and support to the IT Solutions Architect.
  • Perform and test DMS/ECM system backups and restores. 
  • Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements. 
  • Consults with end users to identify problems in accessing electronic content. 
  • Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls. 
  • Ensures company complies with applicable laws and regulations regarding data security and document management. 
  • Communicates and consults with other staff when assessing, acquiring, or deploying new electronic document management systems to ensure smooth transition and minimal disruption.
  • Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.  
  • Perform other duties and tasks assigned by the IT Solutions Architect or VP of Supply Chain Operations and IT.
