About The Position

The Enrollment Coordinator is responsible for communicating with applying families to make eligibility decisions that meet the requirements of Federal Head Start Performance Standards, Pennsylvania Pre-K Counts Standards and local, state and internal policies while ensuring successful enrollment. The Enrollment Coordinator will also coordinate and communicate recruitment efforts as required and facilitate enrollments for childcare services. This is a Monday through Friday position. The shift can be 7:30a-4pm, 8am-4:30p or 8:30am-5:00pm.

Requirements

  • Education: High School diploma or GED required. Associate or Bachelors Degree in a related field preferred.
  • Ability to communicate effectively and in a professional manner to families and staff.
  • Must possess strong time management, organizational and computer skills.
  • Must have basic database, spreadsheet and word processing systems knowledge.
  • Sensitivity and knowledge working with families from diverse populations required.
  • Valid Driver's License required.
  • Proper attendance is required. Employees are expected to arrive on time, every day, able and available to work.
  • May require travel to other centers within the county.
  • Must be able to stand for long periods throughout the workday with intermittent periods of sitting, walking, and occasional bending, twisting, stooping, reaching and grasping as necessary to carry out essential job duties.
  • Dexterity requirements range from coordinated movements of fingers and hands to simple movements of feet, legs, and torso as necessary to carry out essential job duties.
  • Lifting and carrying of children and/or objects up to 50 pounds.

Responsibilities

  • Implement timely application processing as outlined in the “Initial Eligibility Application Process Policy."
  • Conduct eligibility interviews with applicants to ensure complete and correct information on the application.
  • Obtain confidential and pertinent information from families for data entry into applicant record.
  • Provide frequent in-person, phone and written contact with staff and families, often involving sensitive and confidential information.
  • Provide appropriate information and referrals to wait listed families with a focus on community resources, as needed.
  • Efficiently and accurately process eligibility verifications and placements.
  • Process all DHS initial applications through Adobe, or similar programs.
  • Document all communications regarding application into the applicant record.
  • Efficiently maintain appropriate filing systems, applicant records and eligibility files for all enrolled, previously enrolled and wait listed applications. Ensure files are accurate and accessible for both processing and annual audits.
  • Attend recruitment events, staff meetings and trainings, as required.
  • Assist and conduct enrollments, as needed.
  • Other duties as assigned.
  • Adhere to all CDC policies and procedures as set forth in the policy manual.
