About The Position

We are seeking a highly organized, proactive, and professional Right Hand to the VP of Engineering to serve as a key support partner in managing daily priorities, internal coordination, and external client inquiries. This role will act as an extension of the VP—helping drive execution, streamline communication, and remove obstacles so the engineering team can stay focused on high-value work. The ideal candidate thrives in a fast-paced environment, has strong communication skills, can juggle multiple priorities, and is comfortable interfacing with both technical teams and external stakeholders.

Requirements

  • Bachelor’s degree preferred (Business, Engineering, Communications, Project Management, or similar).
  • 3+ years of experience supporting senior leadership, engineering teams, or technical operations.
  • Strong written and verbal communication skills with the ability to communicate professionally with clients.
  • High level of organization and ability to manage multiple competing priorities.
  • Strong judgment and discretion when handling confidential information.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and/or Google Workspace.
  • Experience with project tracking tools such as Jira, Asana, Monday.com, Smartsheet, or similar.
  • Extremely proactive, detail-oriented, and reliable.
  • Ability to anticipate needs and “take things off the plate” without being asked twice.
  • Strong follow-through and accountability mindset.
  • Comfortable working with executives and communicating with external customers.
  • Able to handle pressure, urgency, and shifting priorities with professionalism.
  • Strong interpersonal skills and ability to build trust across teams.

Nice To Haves

  • Experience working in engineering, construction, renewable energy, utilities, or technical services environments.
  • Familiarity with engineering project lifecycles and deliverable tracking.
  • Experience creating executive-level reporting dashboards and status updates.
  • Ability to interpret technical topics and translate them into clear communication for non-technical stakeholders.

Responsibilities

  • Serve as the primary support resource for the VP of Engineering, managing priorities, deadlines, and follow-ups.
  • Take ownership of action items and ensure tasks are driven to completion.
  • Organize and track engineering deliverables, open issues, and key initiatives.
  • Prepare briefing materials, presentations, meeting notes, and executive summaries.
  • Identify gaps or bottlenecks and proactively recommend process improvements.
  • Serve as a first point of contact for incoming client questions, concerns, and requests.
  • Manage client inquiries by routing requests to the appropriate internal teams and ensuring timely follow-up.
  • Draft and send professional communications on behalf of the VP of Engineering.
  • Track outstanding client issues and ensure resolution through internal coordination.
  • Participate in client calls as needed to document action items and ensure accountability.
  • Assist in managing project schedules, milestones, and internal reporting.
  • Track engineering tasks and cross-functional dependencies using tools such as Asana, Monday.com, Jira, Smartsheet, or similar.
  • Coordinate internal meetings across engineering, operations, project management, sales, and executive leadership.
  • Maintain documentation and ensure updates are communicated clearly.
  • Manage calendars, meeting coordination, and scheduling priorities.
  • Coordinate travel logistics and planning as needed.
  • Maintain organized systems for documentation, project files, and client correspondence.
  • Support continuous improvement efforts related to workflows, communication, and project execution.
