The range for the Engineering Coordinator is $25.21 - $31.51 per hour; for the Senior Engineering Coordinator is $27.79 - $34.74 per hour Do you enjoy digging into details and solving puzzles? Requirements

  • Knowledge of: Principles, practices, and methods of budget analysis and accounting related to the development and monitoring of CIP budgets; order entry and basic knowledge of civil engineering projects, engineering record keeping requirements and the City's development process; standard office procedures and equipment.
  • Skill in: Communicating effectively both verbally and in writing; organizing and maintaining records, providing effective customer service and managing conflict; working without direct supervision and adapting to changing priorities; reading and interpreting financial ledger documents and engineering contracts, including standards and specifications; Microsoft Excel, JD Edwards, or similar programs; operating modern office equipment.
  • Associate's degree in Business Administration, Civil Engineering or a related field.
  • Six (6) months of technical engineering support experience or six (6) months of experience in accounts payable, accounting, or financial recordkeeping is required.
  • Texas Class C driver's license (must obtain within 30 days of hire per state law).
  • Bachelor's degree in business administration or engineering with major course work in Engineering, Finance, Accounting, Economics or related field.
  • Minimum of two (2) years of experience in budget development, analysis, and control.
  • Must have a valid Class "C" Driver's License (must obtain Texas Class "C" driver's license within 30 days of hire per state law).

Responsibilities

  • Assists in the preparation of the CIP budget with the Budget, Accounting, and Purchasing departments; enters project financial data into the relevant databases.
  • Prepares financial worksheets for Council agenda items, funding modifications, and transaction adjustments.
  • Creates CIP requisitions, purchase orders, and check requests; processes and monitors CIP encumbrances and expenditures; reconciles account ledgers.
  • Prepares correspondence regarding CIP projects.
  • Requests information and updates from vendors to ensure timely payment.
  • Assists Accounting department with project information audits.
  • Maintains project status updates and reports for departmental staff, private, regional, state, and Federal entities.
  • Reviews vendor billing for accuracy, investigates issues, and resolves discrepancies between quotes and invoices.
  • Provides support to departmental staff and external vendors regarding project financial statuses and information.
  • Coordinates vendor information requests and updates to ensure timely payment.
  • Supervises the process of account ledger work to project managers for budget preparation and assists in the preparation of the CIP budget with the Budget, Accounting, and Purchasing departments.
  • Reviews vendor billing for accuracy, investigates issues, and resolves discrepancies between quotes and invoices, processes invoices for payment.
  • Prepares financial worksheets for Council Agenda items prior to submission to ensure CIP funds are appropriately budgeted and the expenditure is as intended in the approved budget.
  • Prepares funding modifications and transaction adjustments as required to provide for funding to achieve City goals and objectives.
  • Maintains records of Capital Improvement Program's funding, departmental orders, vendor invoices and payments, and project close out documents.
  • Provides support to City staff and external vendors regarding project financial statuses and information.
  • Coordinates with Accounting Department with project information for annual audits.
  • Coordinates and supervises processing modifications via NCTCOG Revenue Project and Tracking System (RAPTS) and reimbursement requests and project close out for grant funded projects.
  • Maintain project status updates and reports for department staff, regional (NCTCOG), state (TxDOT) and federal (CENSUS) entities.
  • Coordinates and supervises maintenance of vendor log for materials testing.
  • Regularly enters updated records to Engineering Laserfiche folders.
  • Assist with updates to department electronic manuals.
  • Provide training to other staff members as needed to assist with Engineering Coordinator work.
