Yellowstone Club’s Employee Housing department is currently seeking candidates for an Employee Housing Operations Coordinator. This is a full-time year-round position located in Gallatin Gateway, Montana. Purpose: The purpose of the Employee Housing Operations Coordinator (EHOC) is to support the daily maintenance and operation of employee housing facilities, including offices, buildings, and grounds, while coordinating key aspects of the Yellowstone Club Employee Housing Program for seasonal employees. This role works closely with the Employee Housing team to ensure residents are processed efficiently and experience clear, consistent communication throughout the season. Responsibilities include completing check-ins and check-outs, conducting inspections, managing resident access and door codes, preparing and staging units, supporting inventory management and recordkeeping, and assisting with general property upkeep. The EHOC plays a hands-on role in ensuring units are prepared, maintained, and ready for occupancy, contributing to a positive resident experience and strong first impression through high-quality service and operational execution.

Requirements

  • High school diploma, GED or vocational training or job-related course work
  • 1-2+ years of experience working with employee housing programs either at a college or university, apartment rental complex, employer housing program, or other relevant experience.
  • Valid US Driver’s License
  • Proficiency in basic technology including smartphones, tablets, computers, and email.
  • Advanced level of skills in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Able to speak clearly and effectively with Members, guests, co-workers, vendors and other Yellowstone Club departments. Able to write clearly and legibly.
  • Able to perform basic math calculations.
  • Ability to solve basic problems and/or know when it is necessary to get a manager to assist in problem solving.

Responsibilities

  • Ensure that each Member, resident, and guest receives outstanding service in a friendly environment, which includes greeting and acknowledging every Member, resident, and guest, maintaining outstanding service standards and a solid understanding of employee housing, and always displaying a positive and friendly demeanor.
  • Empowered to guarantee total Member satisfaction, display hospitality and professionalism to our Members, guests, and residents at all times, take pride in representing Yellowstone Club professionally with our Members, guests, and residents, and ensure that all transactions are handled in a legal and ethical manner.
  • Understand and apply all property safety and security procedures to maintain a secure and safe environment for team members, Members, guests, and residents at all times. In the event of an accident or emergency, seek medical attention if necessary and contact your direct manager, the Director of Employee Housing, or Human Resources immediately.
  • Maintain a favorable working relationship with all Yellowstone Club team members and residents in employee housing to foster and promote a positive working environment.
  • Ability to work independently with minimal supervision and work well under pressure.
  • Flexibility to handle daily changing priorities and projects within the housing offices and/or various properties.
  • Excellent & professional communication and organization with ability to prioritize workload and willingness to complete projects in a timely and efficient manner.

  • Have a working knowledge of computer applications (Microsoft Office, Outlook, Excel, StarRez, Teams, etc.)
  • Prepare bed spaces for arriving residents, including completing room inspections, light cleaning, and unit setup to ensure readiness for occupancy.
  • Perform general upkeep tasks within offices, common areas, and residential spaces, including vacuuming, sweeping, mopping, wiping surfaces, and lifting/moving items as needed.
  • Maintain housing facilities through routine upkeep and minor maintenance, including cleaning units and common areas, replacing light bulbs and batteries, monitoring thermostats, arranging furniture, and troubleshooting door locks.
  • Complete seasonal and in-season unit turnovers, ensuring units are clean, staged, and prepared for incoming residents.
  • Perform employee check-in and check-out processes, ensuring accurate documentation and a smooth resident experience.
  • Manage unit key inventory, including maintaining key boxes, and conducting regular key and lock audits.
  • Collaborate with the Employee Housing team to coordinate schedules for arrivals, departures, unit preparation, inspections, inventory management, and door access updates.
  • Support in-field housing operations to ensure facilities are clean, well-maintained, and provide a welcoming environment for residents.
  • Clean residential units and common areas as needed, including trash and recycling removal.
  • Utilize the StarRez housing system to support operational processes, ensuring data accuracy, maintaining trackers, and monitoring occupancy and housing assignments.
  • Coordinate maintenance and repair needs by partnering with the Maintenance team, ensuring issues are properly communicated, tracked, and resolved in a timely manner.
  • Support compliance with housing policies by assisting with routine room and unit inspections and following up on any identified issues.
  • Operate a vehicle to travel between housing properties in Gallatin Gateway and Big Sky, including in winter driving conditions.
  • Execute real-time data entry and reporting using mobile platforms during field operations to maintain accurate inspection records, inventory tracking, and unit status updates.
  • Communicate professionally and effectively with applicants and current residents via email, phone, and in-person interactions.
  • Demonstrate strong customer service skills and the ability to work effectively with diverse individuals and teams across the organization.
  • Demonstrate ability to be productive, deliver high-quality work, take initiative, use good judgment, and problem-solve.
  • Perform all duties and responsibilities in a timely and efficient manner in accordance with established Club policies, procedures, and standards of service to achieve the overall objectives of this position.
  • Meet departmental productivity, organization, punctuality/attendance and consistency standards.

  • Finalize the checkouts for the season and work with the Community Managers/Employee Housing Coordinators to confirm departures.
  • Assist as needed with community events.
