About The Position

Summary: The Elevator Coordinator is responsible for overseeing the day-to-day operations, maintenance, and safety compliance of all elevator systems across the organization. This role serves as the liaison between internal clients and third-party elevator service providers to ensure timely inspections, repairs, and modernization projects. The Elevator Coordinator must possess strong organizational and communication skills, a basic understanding of business processes, and a commitment to safety and regulatory compliance. Essential Duties and Responsibilities: Plan, coordinate, and oversee routine maintenance, inspections, and repairs of elevator systems. Ensure compliance with all local, state, and federal safety codes, including the Texas Department of Licensing and Regulation (TDLR) inspection requirements. Maintain up-to-date knowledge of industry standards and regulatory changes impacting elevator operations. Manage contracts and maintain professional relationships with third-party elevator maintenance vendors. Conduct vendor evaluations and negotiate service agreements to maximize value and ensure quality service. Monitor vendor performance to ensure adherence to safety standards, service timelines, and contractual obligations. Track expenditures and assist with budget monitoring to identify cost-saving opportunities while maintaining safety and service quality. Recommend and prioritize modernization, repair, or replacement projects based on system performance, lifecycle analysis, and operational needs. Investigate and resolve elevator-related incidents, service disruptions, or safety concerns in a timely and thorough manner. Maintain accurate records of all maintenance activities, inspections, compliance reports, and vendor communications. Prepare and present routine reports on system performance, operational challenges, and financial oversight to senior management. Work is performed both in an office setting and onsite at various facility locations. Occasional travel may be required for inspections or vendor meetings. Must be available to respond to urgent elevator-related issues or safety concerns during and outside regular business hours. Performs other duties as assigned.

Requirements

  • Basic knowledge of elevator systems, safety codes, and maintenance practices.
  • Entry-level business acumen and experience working with budgets or vendor contracts preferred.
  • Strong attention to detail and ability to maintain accurate records and documentation.
  • Excellent communication, negotiation, and organizational skills.
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and/or facility management software.
  • Must be exceptionally motivated and have excellent interpersonal skills.
  • Exhibits initiative, responsibility, flexibility and leadership.
  • Has strong organizational and computer skills.
  • Ability to prioritize tasks and information quickly and efficiently.
  • Ability to maintain confidentiality.

Nice To Haves

  • Familiarity with TDLR elevator inspection requirements is a plus.
