About The Position

Macon R-1 School District is seeking an Elementary Building/Food Service Secretary for the 2026-2027 school year. This role involves performing secretarial duties for the elementary building, including correspondence typing and filing, greeting visitors, answering and directing phone calls, and maintaining staff and student attendance records. The secretary will also manage office supplies, building requisitions, purchase orders, and the operation of office machines. Key responsibilities include assisting with classroom inventory, student registration, enrollment, summer school records, Core Data reports, student withdrawals/enters/reenters, student record requests, the school dismissal system, daily sign-in/out sheets, and communication with parents and the community. Additionally, the position includes food service secretarial duties such as processing free/reduced meal applications, managing the Direct Certification Program, handling breakfast/lunch payments, refunds, and bank deposits. The secretary will maintain daily, monthly, and annual records of meal counts, sales, and account deposits, manage meal account balances, set up prices in the SIS program, mark meal accounts for free/reduced eligibility, manage cash boxes and time sheets for cashiers, and may perform cashier duty. Other duties include contacting parents for account payments, posting signs and menus, submitting monthly participation records to the central office, and preparing FTE counts reports.

Requirements

Responsibilities

  • Performs work as secretary
  • Performs correspondence typing and filing
  • Greets all visitors to the building
  • Answers phone calls and directs calls
  • Maintains/assists in staff and student attendance records
  • Maintains/assists in keeping abreast of supplies for office and orders when needed.
  • Maintains/assists in handling all building requisitions and distributes materials ordered
  • Maintains/assists records and monitors all purchase orders/invoices
  • Maintains/assists monitoring and maintaining operations of copiers and other machines.
  • Maintains/assists in collection of classroom inventory
  • Maintains/assists in registration and pre-registration.
  • Maintains/assists entering new students into computer files
  • Maintains/assists with Summer School records and reports.
  • Maintains/assists in student enrollment records
  • Maintains/assists in the preparation of Core Data reports
  • Maintains/assists in coordinating student withdrawals/enters/reenters
  • Maintains/assists in requests of student records
  • Maintains/assists the school dismissal system
  • Maintains/assists in daily student and visitor sign in/out sheets
  • Maintains/assists in preparation of emails and elementary weekly bulletin
  • Maintains/assists enrolling Speech/Tiger Cubs students as necessary throughout the year
  • Maintains/assists running end of the year reports
  • Maintains/assists verifying student daily absences.
  • Maintains/assists in managing communication of events with parents and community
  • Performs other duties as assigned
  • Processes free/reduced meal applications and does annual verification of applications
  • Manages Direct Certification Program
  • Manages breakfast/lunch payments, refunds, and bank deposits
  • Keeps daily, monthly, and annual records of meal counts, sales, and meal account deposits.
  • Keeps lists of all meal account balances and account status at the beginning and end of the year
  • Sets up prices in the SIS program for the school year’s meals and ala carte items
  • Marks meal accounts in the SIS program for those who qualify for free or reduced
  • Keeps start cash boxes for each cashier and their time sheets
  • May have cashier duty in the High School cafeteria for breakfast and lunch
  • Contacts parents to send account payments via email or phone and answers any questions as needed
  • Posts signs and menus in the cafeteria
  • Turns in monthly participation records to the central office, allowing them enough time to be able to submit the records to the state before the 15th of every month in order to receive reimbursements
  • Prepares FTE counts report of students on Free and Reduced on the last Wednesday of January
  • Performs other duties as assigned
