About The Position

Under the direct supervision of the Clinical Applications Administrator, the Electronic Health Records Support Analyst (EHRSA) is responsible for supporting, maintaining, and optimizing clinical applications and interfaces used by the Ko-Kwel Wellness Center (KWC). This role provides expert-level support, training, and mentorship to medical providers and staff using OCHIN Epic, Methasoft, and other clinical systems utilized in daily KWC operations. The EHRSA serves as a liaison between Information Services and KWC leadership to ensure effective system performance, accurate reporting, and high-quality patient care. This position is responsible for system configuration, training development, report building, and ongoing support of Electronic Health Record (EHR)-related software and workflows.

  • Knowledge of medical records confidentiality requirements, including HIPAA and 42 CFR Part 2
  • Understanding of medical records workflows, documentation requirements, and processing timelines
  • Ability to maintain professionalism, confidentiality, and objectivity under pressure
  • Computer literacy sufficient to produce correspondence, reports, and data using standard software tools
  • Ability to work cooperatively across departments and build effective working relationships
  • Bachelor’s degree in Computer Science, Business, Health Care, or a related field required, with a minimum of three (3) years of experience in technical support or healthcare information systems; an equivalent combination of education, training, and experience may be considered
  • Minimum of one (1) year of experience in an informal leadership role supporting IT or operational teams
  • Epic EHR/EPM certification required within six (6) months of employment; training will be provided
  • Current and valid Oregon driver’s license in good standing with no insurability restrictions from the Tribe’s insurance carrier required

Nice To Haves

  • Background and understanding of medical records workflows and ICD-9/ICD-10 coding systems preferred
  • Understanding of database fundamentals and architecture
  • Ability to communicate technical concepts to both technical and non-technical audiences

Responsibilities

  • Serves as a key member of the EHR and health information technology team and is responsible for the overall health and functionality of the Electronic Health Record system
  • Acts as the primary point of contact between KWC and EHR systems, serving as the EHR champion and subject matter expert
  • Provides EHR system administrative support to ensure accuracy, completeness, and optimal configuration
  • Maintains comprehensive knowledge of EHR workflows, configuration, and system build
  • Communicates with OCHIN analysts and EHR vendors to resolve system issues as needed
  • Collaborates with OCHIN to test monthly Enhancement Pack and Service Pack updates
  • Works with clinical leadership and users to identify opportunities to improve efficiency, workflows, and health outcomes
  • Develops training materials and conducts training sessions, including one-on-one support, staff huddles, and lunch-and-learn sessions
  • Installs, supports, troubleshoots, and performs preventive maintenance on KWC clinical software and third-party solutions
  • Participates in EHR build activities, including creating user and provider records, preference lists, fee schedules, templates, workstation and printer configurations
  • Manages onboarding and offboarding for Epic users, ELLA, remote access, provider accounts, and all KWC EHR systems
  • Oversees EHR Help Desk operations, including ticket documentation, issue resolution, trend tracking, and development of knowledge base articles
  • Develops and maintains clinical reporting and decision-support tools
  • Prepares clinical and financial reports in various formats for administrative and clinical use
  • Gathers, analyzes, and communicates required data to Indian Health Services
  • Provides recommendations for system improvements and implements approved changes following organizational standards and best practices
  • Performs other duties as assigned
