About The Position

The Education Programs Assistant will work closely with the Coordinator of Education and managerial staff to support the coordination of education programs including school, family, access, and partnership programs. The Education Programs Assistant is responsible for all aspects of booking and scheduling group visits to the museum for diverse audiences. The assistant will support the Education Coordinator to serve as the main point of contact for schools, colleges, and community groups visiting the museum. They will respond to requests; manage the group visits calendar; assist with scheduling museum educators; floor management, maintain files and attendance documentation; process invoices and payments; and support promotion and outreach. As a member of the Education team, the Education Programs Assistant will attend exhibition training; support the development of educator resources, participate in the planning of family, community, and partnerships events; and lead tours as needed. Requirements

  • B.A in Art, Art Education, Art History, Education, Administration or similar; prior group sales booking in the arts, education, tourism, or entertainment industry (desired)
  • Detail-oriented, flexible, and ability to multitask in a fast-paced environment
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in technological troubleshooting and software tools to support education program logistics and scheduling.
  • Proficiency in Office 365 and Google Workspace
  • Spanish and English bilingual written and oral proficiency required
  • Supports the coordination of in-person educational programs and daily operations; candidates should reside within proximity to El Museo del Barrio to ensure timely on-site support.

Responsibilities

  • Book groups for guided visits and onsite education programs, maintain the group visits database and calendar; field and respond to all group visit inquiries on phone, email, and online forms.
  • Communicate with potential tour group leaders to provide concise and accurate information regarding exhibition/program content and visitor guidelines, encouraging inquiries to convert to bookings through warm, enthusiastic, and knowledgeable interactions.
  • Serve as primary contact for teachers and group tour organizers; follow up with the group’s confirmation details; assist with the scheduling of assigned Museum Educators and ensure that they receive accurate information regarding the group’s needs and potential connections with the classroom’s curriculum.
  • Serve as floor manager/on-site point person for all arriving groups and museum educators on the day of their visit. Assist educators in coordinating large groups and problem-solve as needed.
  • Oversee and assist with the maintenance and set up of the Talleres (art workshop spaces) for programs; maintain an inventory of materials and place orders.
  • Maintain an up-to-date confirmation and invoicing system, process payments, maintain payment records and receipts, follow up on outstanding invoices, and communicate regularly with the Finance Department to update on bookings and attendance.
  • Support the Education Coordinator with partnership programs; schedule partnership off-site and museum visits, order materials; manage invoices, and compile documentation/evaluation materials.
  • Support the Education Coordinator with Coquí Club and Family Program scheduling and implementation; submit event forms and supply orders; support with outreach; schedule educator appointments; and support set up and check-in during program days.
  • Lead tours and workshops as needed, support as co-host for virtual programs.
  • Communicate inter-departmentally to ensure smooth coordination of programs and that technical needs are met.
  • Collect feedback and evaluation materials from museum educators, group organizers, and program participants; compile a seasonal report that includes a summary of visitor feedback.
  • Compile program attendance data for grant and government reporting.
  • Review and process educators’ timesheets and invoices in accordance with their contract agreements; follow financial coding procedures.
  • Support the Marketing department’s efforts to promote group visits, Coquí Club, and other education programs.
  • Maintain departmental administrative files, track expenses, keep attendance and pertinent content related information for group visits, school, family, and partnership programs.
  • Work with the Education Department staff to prepare for and participate in all program meetings regarding on-site/virtual programs. Attend all walkthroughs and lectures in conjunction with the Permanent Collection, temporary exhibitions, and cultural celebrations.
  • Participate in the Education Department for brainstorming meetings to discuss themes, concepts, curricular connections, and activities related to the exhibitions on view and cultural celebrations and events at El Museo del Barrio.
  • Support the development of age-appropriate education resources for museum educators that make connections between the museum’s exhibitions and classroom curricula.
  • As a member of the Education Team and in collaboration with the Public Programs Department, support the development of educational activities and implementation of family, community and cultural celebrations such as Three Kings Day Parade, Día de los Muertos Celebration, Super Sabado series, Museum Mile Festival, and more.
  • Coordinate general education department needs; order office supplies, assist with maintenance of departmental administrative files, liaise with other departments as needed.
  • Work collaboratively with El Museo staff as appropriate and needed, to ensure goals of offering engaging, informative, and accessible visitor experiences.
  • Support the Education Department in the organization of the Education Office Space.
