About The Position

Under the leadership of the Clerkship Curriculum Manager, the Education Program Specialist –Yr. 4 reviews, develops, implements, and administers all clinical course/clerkship activities for the fourth year of the MD Program. Provides analysis and program oversight to ensure timely project completion and compliance with educational requirements.

Requirements

  • Bachelor's degree with two years of relevant or equivalent experience required.
  • Two years of experience in project management, program management development, administration, or equivalent experience required.

Responsibilities

  • Oversees the planning, implementation, coordination, and evaluation of all course/clinical clerkship activities for the fourth year of the MD Program.
  • Assumes responsibility for ensuring the successful and timely completion of the tasks within courses/clerkships.
  • Serves as the fourth-year program liaison and representative.
  • Works directly and collaboratively with hospital clinical rotation coordinators within each specialty, as well as external personnel for VLSO away clinical clerkship rotations.
  • Co-coordinate Transition to Residency course with Associate Deans and Course Directors in delivery of capstone course including facilitator recruitment, planning, scheduling, building virtual components of the course, evaluations, tracking metrics, room reservations and logistics.
  • Assists with implementing operational policies and procedures related to the MD program's functioning.
  • Serves as main contact for fourth-year course/clerkship initiatives in collaboration with the Course/Clerkship Directors and Faculty. In addition, the role supports courses including but not limited to the following: Transition to Patient Care, Clinical Performance Examinations (CPXs) and Objective Structured Clinical Examinations (OSCEs).
  • Oversees the management of Canvas pages for all fourth-year courses/clinical clerkships. In addition, the role may assist with third-year course/clerkship pages, as needed.
  • Coordinates directly with affiliated hospitals and clinics within the Winston Salem campus and surrounding areas to help secure rotations, spaces, and clinical clerkship activity support.
  • Serves as proctor for examinations throughout all UME years, specifically for third year shelf examinations from the NBME (National Board of Medical Examiners).
  • In collaboration with the Associate Deans across campuses, the Clerkship Curriculum Manager and Director of Curricular Affairs, contributes to the development of budget expenditures.
  • Reviews curricular components on a continual basis (Quality Assurance) to ensure consistency is met regarding clerkship syllabi, goals, objectives, instruction, orientations and faculty and student evaluations for fourth year courses/clerkships.
  • In collaboration with the Clerkship Curriculum Manager and Associate Deans, make recommendations for changes or improvements based on outcome data.
  • Manages tracking and approval of fourth year absence requests for the respective campus within absence management system.
  • Monitors and manages room scheduling systems specific to areas supported.
  • Responsible for coordination with student groups and UME curriculum to ensure minimal scheduling conflicts and addresses scheduling needs.
  • Arranges, implements, and facilitates team meetings to achieve results.
  • Attends meetings with appropriate Staff and Faculty as necessary to provide and gather information.
  • Promotes a cooperative work environment by utilizing communication skills, interpersonal relationships, and team building.
  • Attends and contributes to the discussion as a non-voting member of the curriculum committees.
  • Advise on operations of implementing curricular elements, including design, delivery, and assessment.
  • May serve as admin support for mission critical meetings.
  • Ensures compliance with institutional and sponsor regulations and guidelines.
