About The Position

The Educational Coordinator works under general supervision of and reports directly to the program director of the BSN Program. The incumbent is the initial point of contact for the BSN program. The Educational Coordinator coordinates all activities related to student registration, course evaluation, program evaluation, and program accreditation. This includes Workday management, data entry, tracking, and training, student IPE activity tracking, preparation of accreditation/self-studies, annual program reports, and maintenance of the BSN program records. The Educational Coordinator must interface with campus, university, and external agencies for reporting and recording all data for BSN students. This position also provides high level administrative support to the BSN program director. The nature of this job requires the incumbent to be customer-oriented, detail oriented, and have experience in broad aspects of administration.

Requirements

  • Bachelor's degree plus three (3) years of experience coordinating educational programs required.
  • MS Word, MS Excel, MS Outlook, MS PowerPoint, MS Access, database
  • Advanced computer program proficiency level.

Responsibilities

  • Assists with admission applications.
  • Schedule admission interviews and arrange faculty and students for interview sessions with applicants.
  • Maintains a spreadsheet of scores for applicants.
  • Responsible for ongoing communication and guidance to new and current students to document plans of study and coordinate faculty approval of such plans.
  • Monitors students' registrations.
  • Verifies incoming students and requirements, such as background checks.
  • Maintains students' records on a computerized relational database and in individual student files.
  • Oversees compliance records for BSN students.
  • Tracks students’ compliance with interprofessional education milestones.
  • Sets up record keeping system based on CCNE standards.
  • Maintains student and program records for accreditation by CCNE.
  • Copies relevant documents to the Dean’s Office for CCNE accreditation.
  • Tracks students' absences/vacation days in a relational file.
  • Facilitates the maintenance of updated syllabi by revising the front page and updating policy sections as handbook changes occur, and ensures updated syllabi are maintained in program files and uploaded to Blackboard course shells, with copies provided to the Associate Dean for Academic Affairs
  • Submits book and supply orders to the CON Business Office.
  • Schedules rooms for courses, workshops, etc.
  • Prepares scratch paper and proctors exams in Examsoft and ATI as needed.
  • Responsible for distributing, collecting, and maintaining all faculty, course, clinical site, and clinical preceptor evaluations for the BSN program.
  • Assists with data collection needed for program evaluation and accreditation, including student demographics, success predictors, preceptors, clinical hours, etc.
  • Coordinates and participates in the development of reports for internal and external constituents.
  • Provides administrative support for the Director of the BSN program and faculty.
  • Takes minutes for the Undergraduate Curriculum and program meetings.
  • Assists in the coordination of events for students, including graduation and special events.
  • Completes special projects, as assigned.
  • Serves as the initial point of contact for CON’s BSN program office; greets all visitors in a professional, friendly, and welcoming manner.
  • Interacts with and assists in a professional and friendly manner as needed.
  • Demonstrates effective communication skills; communicates accurate and complete information; maintains strict confidentiality when necessary.
  • Demonstrates positive working relationships with co-workers, management team, and ancillary departments; follows the Core Concepts of Patient and Family Centered Care and the Basic Code of Conduct Guidelines.
  • Assist internal and external stakeholders as needed with exceptional customer service.
  • Manages projects and duties by keeping necessary officials informed, providing reports, tracking outcomes, following/owning processes from start to finish, and maintaining project timelines.
  • Solves problems on behalf of the program by collaborating with departments within the College as well as divisions across campus and external stakeholders.
  • Responds to requests from the Dean, other Associate Deans, program directors, faculty, and staff.
  • Uses own initiative to assist the director of the BSN program and other faculty/staff in roles and responsibilities.
  • Provides daily administrative support and office management to the BSN program director as well as faculty members associated with the BSN program.
  • Serves as the point of communication for the BSN phone messages and mail delivery.
  • Composes correspondence, coordinates meetings, takes meeting minutes, and communicates with faculty and staff within the College as well as other areas around campus and external stakeholders/partners at the request of the director of the BSN program.
  • Provides estimates and vendor information, completes paperwork for purchase requests, and performs other administrative tasks required to run an efficient office.
  • Perform other duties as assigned.
