About The Position

The Driver and Fleet Manager is responsible for the operational readiness of Ride Care’s drivers and vehicles. This position combines driver operations management, field supervisor support, driver training coordination, scheduling oversight, timekeeping review, and fleet readiness. This role ensures that drivers are properly trained, scheduled, supported, and held accountable, while also ensuring that vehicles are assigned, maintained, tracked, and ready for service. The position serves as the primary bridge between drivers, field supervisors, dispatch, optimization, operations leadership, and fleet maintenance. The Driver and Fleet Manager must be highly organized, responsive, and comfortable operating in a fast-moving transportation environment where staffing, vehicle availability, safety, and service reliability directly affect daily operations. Primarily based at Bison office, with travel to Ride Care locations, vehicle sites, and field locations as needed.

  • Ability to work collaboratively with Operations, Dispatch, Optimization, HR, Fleet/Bison, and executive leadership.
  • Must be able to travel within Oklahoma and to field locations as needed.
  • Must be willing and able to assist with urgent coverage, vehicle movement, and operational needs when required.
  • Must pass background check, MVR review, and drug screen as required by company policy.
  • Must maintain eligibility to operate company vehicles when required.

Nice To Haves

  • 2+ years of transportation, fleet, driver management, logistics, operations, or related experience.
  • Prior experience supervising drivers, schedules, managing teams, or supporting fleet operations.
  • Working knowledge of vehicle maintenance coordination, fleet readiness, driver safety, telematics, or transportation operations.
  • Experience using Samsara, Smartsheet, Paycom or payroll platforms, Microsoft Office, and other operational software.

Responsibilities

  • Manage daily driver availability, call-ins, PTO requests, coverage gaps, and schedule changes.
  • Maintain an accurate daily driver roster, including vehicle assignments, driver availability, and any coverage concerns.
  • Coordinate with Dispatch and Optimization to ensure driver availability and vehicle assignments are current before route optimization is finalized.
  • Schedule drivers to support required coverage, including 24/7 operational needs, high-volume windows, and market-specific staffing demands.
  • Serve as the primary operational contact for drivers and Field Supervisors.
  • Respond to driver and Field Supervisor issues in real time, providing guidance, direction, and follow-up.
  • Escalate staffing, service, safety, or employee-relations risks to operations leadership early.
  • Act as a backup resource for urgent driver absences, route coverage gaps, or special operational needs when required.
  • Track staffing trends, attendance issues, late call-ins, no-shows, overtime, underutilization, and other driver-related operational risks.
  • Participate in driver hiring, onboarding, performance feedback, coaching, corrective action, and performance reviews as directed by leadership.
  • Oversee driver training and ensure new drivers understand their role, assigned systems, SOPs, reporting requirements, safety expectations, and scheduling processes.
  • Assign trainers for new hires, preferring Field Supervisors when appropriate and identifying other qualified trainers as needed.
  • Communicate training plans clearly to new hires, trainers, Field Supervisors, Dispatch, Optimization, and Operations leadership.
  • Monitor new hire training progress and confirm that required milestones are completed and documented.
  • Train and support Field Supervisors on driver expectations, ride-along standards, coaching practices, reporting tools, and performance follow-up.
  • Maintain and update driver training materials, field training expectations, and related documentation.
  • Build and maintain driver performance metrics for Field Supervisors to review with drivers.
  • Ensure Field Supervisors are applying consistent standards across driver coaching, training, ride-alongs, vehicle expectations, and field communication.
  • Maintain centralized visibility over Ride Care vehicle assignments, vehicle condition, maintenance status, and service readiness.
  • Develop and maintain an ongoing maintenance log for each assigned Ride Care vehicle.
  • Coordinate routine maintenance, urgent repairs, vehicle swaps, retrievals, and redeployments.
  • Work with Bison personnel to ensure vehicles are inspected, repaired, prepared, and returned to service as efficiently as possible.
  • Coordinate vehicle assignments for new drivers and vehicle reassignments when staffing, geography, maintenance, or operational needs change.
  • Coordinate retrieval of vehicles from the field due to mechanical issues, collisions, driver separation, or operational reassignment.
  • Ensure newly acquired vehicles are prepared for operation, including safety checks, paint/branding protocols, required equipment, and Samsara camera/tracking installation.
  • Monitor Samsara and other systems for vehicle issues, safety events, equipment concerns, mileage, maintenance needs, and driver behavior trends.
  • Notify drivers of required maintenance, repair appointments, vehicle swaps, inspections, and related expectations.
  • Track vehicle downtime and identify recurring maintenance, driver-care, or assignment issues that affect service delivery.
  • Recommend process improvements to reduce downtime, improve cost control, improve vehicle readiness, and support driver accountability.
  • Monitor Samsara daily for driver safety events, vehicle concerns, appearance issues, driver exceptions, and items requiring follow-up.
  • Pull and review incident reports, crash information, reimbursement items, driver logs, trip logs, and related documentation.
  • Ensure required driver and vehicle issues are documented in the correct tracking tools.
  • Maintain organized records of vehicle maintenance, vehicle assignments, driver coaching, training status, incident follow-up, timekeeping audits, and unresolved operational issues.
  • Work with HR on driver corrective action, policy issues, repeated performance concerns, and employee-relations matters.
  • Maintain confidentiality of client, employee, and proprietary business information.
  • Understand and follow company policies and practices related to HIPAA, client confidentiality, safety, vehicle use, electronic communications, and incident reporting.
  • Support compliance with company vehicle policies, driver standards, reporting expectations, and safety procedures.
  • Serve as first-level reviewer for driver time records, missed punches, excessive hours, underutilization, overtime, and schedule exceptions.
  • Complete recurring audits of driver time records against assigned work, route activity, and available operational data.
  • Follow up on missed punches, unusual time entries, overtime concerns, and attendance patterns.
  • Review PTO patterns, call-in trends, staffing pressure points, and schedule risks before they affect coverage.
  • Submit recurring reports to Operations leadership on staffing, coverage, incidents, driver performance, training, overtime, vehicle downtime, and fleet readiness.
  • Identify recurring issues and recommend corrective actions or process changes.
  • Coordinate daily with Dispatch, Optimization, Fleet/Bison, Operations leadership, HR, and other departments as needed.
  • Reduce interdepartmental confusion by closing communication loops, documenting decisions, and ensuring handoffs are clear.
  • Communicate driver and vehicle issues in a timely, professional, and actionable manner.
  • Partner with Bison leadership and maintenance personnel to align operational vehicle needs with repair capacity and shop workflow.
  • Partner with Dispatch and Optimization to prevent vehicle or staffing issues from becoming service failures.
  • Provide leadership with clear updates on driver readiness, fleet readiness, staffing risk, maintenance conflicts, and field issues.
  • Perform other duties as assigned by leadership.
