About The Position

This position is located at 108 Southeastern Parkway, Franklin, TN 37064 in our administration offices. The standard hours for this position are Monday-Friday with flexibility in between the hours of 7am-5pm. One day a week of remote work may be possible after 90 days of employment. Occasional weekend or holiday work may be required to support our mission. The Donations Coordinator supports GraceWorks Ministries’ goals, values, and philosophy by exhibiting the following behaviors: excellence, accuracy, quality service, and accountability. This role plays a key part in advancing GraceWorks goals by ensuring accurate, strategic, and insight-driven donor information. This position manages the integrity of fundraising data, supports gift processing and reporting, and provides prospect research that strengthens the work of development. POSITION SUMMARY The Donations Coordinator is our primary team member for recording, classifying and reporting on all donor records and transactions. Additional fundraising event support, donor data cleanup, and research projects are expected.

Requirements

  • Demonstrated abilities with ownership of database records, attention to detail, and managing their own schedule with several tasks.
  • Knowledge of fundraising, gift processing, and stewardship practices.
  • Proficiency in Excel and data import/export processes.
  • Intermediate to advanced experience with Microsoft Office Suite and CRM systems (Salesforce)
  • Must exercise confidentiality with sensitive materials.
  • Aligned with GraceWorks values and mission.
  • High School Diploma Required

Nice To Haves

  • Bachelors degree in Business Administration or related field, or 2-3 Years of database administration experience in a Non-Profit strongly preferred
  • Motivated energetic self-starter with strong problem-solving skills; attention to detail and appreciation for accuracy are critical; ability to handle multiple tasks simultaneously; highly developed organizational skills; excellent time and self-management skills; strong sense of initiative and ability to work under pressure on multiple projects; ability to work independently and as a part of a team.

Responsibilities

  • Database Management: Manage donor database records. Extracts data for mailing lists, email campaigns, and segmentation.
  • Donor Stewardship: Manages the timely generation of acknowledgment letters and tax receipts.
  • Gift Processing & Reporting: Accurately records donations, pledges, and in-kind gifts. Generates regular reports on fundraising, pledge status, and campaign performance.
  • Process daily donations (cash, in-kind, etc.) in our CRM system and reconcile totals.
  • Synchronize with accounting team daily, monthly and annually on donation totals.
