About The Position

The Donation Logistic Supervisor is responsible for coordination and execution of complex logistics supporting IDN team members, medical equipment, transplant partners, specimens, recovered organs/tissues, and transportation of donors. This role operates at the center of time-critical clinical workflows, ensuring seamless movement, communication, and alignment across internal teams and external partners. Exercise sound judgment in applying operational practices, think critically and act decisively in time-sensitive situations, and escalate matters as appropriate. Acting as a strategic problem solver, the Donation Logistic Supervisor evaluates changing variables and designs practical, efficient plans that support clinical excellence. The role works closely with clinical teams and partners in donation to anticipate needs, mitigate risk, and resolve logistical challenges. This position transforms complexity into executable plans that prioritize donation outcomes, compliance, and operational efficiency.

Requirements

  • A minimum of a two-year degree in a health field, funeral service, nursing or paramedic certification/one-or-more year health care related experience; or a combination of education and experience providing equivalent knowledge.
  • Minimum of one year experience with organ or tissue donation.
  • Demonstrate ability to work with sensitive information and respond promptly while maintaining confidentiality
  • Ability to navigate multiple software systems, programs, and communication tools effectively
  • Strong verbal and written communication skills, with the ability to convey complex information clearly
  • Excellent interpersonal and customer service skills to build rapport with diverse stakeholders
  • Exceptional organizational skills and attention to detail to manage multiple tasks efficiently
  • Strong time management skills to effectively meet time-sensitive needs
  • Robust analytical and problem-solving skills to address challenges effectively
  • Capability to function effectively in a high-paced and occasionally stressful environment
  • Proficient in the use of Microsoft Office Suite or related software applications
  • Commitment to providing excellent customer service to a diverse audience
  • Capacity to maintain accurate records and documentation
  • Receives the use of an IDN issued phone and physical ethernet cable connection from the wall of the home to the workstation
  • Sit for 12 hours or more in a designated remote call setting
  • At peak times, may be called in to provide assistance when not scheduled
  • Must have a high level of customer service and ability to communicate to a diverse audience.
  • Lift equipment and supplies weighing up to 20 lbs
  • Possible mental and visual fatigue associated with detailed work
  • Express ideas verbally and convey detailed or important spoken information
  • Receive detailed information through oral and auditory communication
  • Must receive required vaccines based on outlined schedules to protect our employees, healthcare personnel, donors, recipients, and families we may come into contact. (e.g., Influenza obtained annually by December 1st)

Responsibilities

  • Coordinate and manage logistics for tissue, organ, and eye cases with 100% delivery accuracy to support clinical operations
  • Provide organizational phone coverage and transportation coordination as needed
  • Provide high-level customer service and communicate effectively with internal and external partners
  • Support the donation process from referral through recovery, collaborating with clinical staff to manage case timelines and resolve issues
  • Provide logistical and clinical leadership throughout the donation process
  • Maintain accurate, real-time documentation in iTx and awareness of all active referrals
  • Communicate transportation details and logistical updates to tissue teams, organ teams, and external partners
  • Participate in required meetings, training sessions, and annual competency completion
  • Complete quality assurance requests within three (3) business days as a part of GtG metrics
  • Train and support new staff or staff learning additional job functions, documenting training activities
