About The Position

The Documentation Clerk ensures accurate, compliant, and inspection-ready management of GMP documentation by performing high-quality scanning, indexing, and uploading of controlled records into electronic systems. This role safeguards data integrity, maintains traceability and archival standards, and supports daily operations by ensuring that all critical records are processed, organized, and retrievable in accordance with company procedures and regulatory expectations.

Requirements

  • 1–3 years of experience in document control, records management, or administrative support in a GMP environment.
  • Familiarity with scanning hardware/software and digital file management.
  • Understanding of GMP, GDP, and data integrity principles.
  • High school diploma or GED required; Associate’s degree preferred.

Nice To Haves

  • Experience with e-QMS, or similar systems strongly preferred.

Responsibilities

  • Perform document processing and scanning by generating true, complete, and legible electronic scans of GMP documents such as batch records, logbooks, protocols, reports, forms, and test data.
  • Verify that scanned documents match originals without omissions, cropping, or distortion, ensuring proper resolution, format, and naming conventions per SOP.
  • Upload scanned documents into the appropriate electronic system with correct metadata and versioning.
  • Maintain organized digital folders and indexes for rapid retrieval.
  • Follow all cGMP, GDP, and data integrity principles during handling and scanning.
  • Maintain controlled document storage areas and protect original records.
  • Support archival, retention, and destruction of records according to schedules.
  • Identify documentation errors and escalate appropriately.
  • Assist with audit preparation and document retrieval.
  • Participate in SOP and work instruction updates for continuous improvement of templates, workflows, and scanning processes.
