SUMMARY The Documentation and Logistics Administrator I is responsible for the creation of customer-facing documents as well as shipments related to the Woodbury NY location. These activities include coordinating shipments with couriers, creating and applying for permits, and tracking outbound packages. Also included is ensuring certificates of analysis are checked and shipment packets are created and moved through the department expeditiously to ensure a seamless flow of orders from operations through to the shipping team.   This position will ensure compliance with Environmental Health and Safety (EHS) policies, State Departments of Health, Good Documentation Practices (GDP), Good Laboratory Practice (GLP), Good Manufacturing Practices (GMP), Good Clinical Practices (GCP), Good Laboratory Practice (GLP), Standard Operating Procedures (SOPs), EMEA and FDA Guidelines, general State and Country Regulations such as but not limited to (CLIA, CAP, USP, ISO 9001, USDA regulations, HTA license, DEA and State Controlled Substance programs) where site appropriate.

Requirements

  • Bachelor’s degree (B.S./B.A.) from four-year college or university; or high school graduate with three years of related experience and/or training; or equivalent combination of education and experience.
  • Proficiency in a variety of computer software programs including MS Office
  • Ability to work in a team laboratory environment with knowledge or familiarity with scientific terminology.

  • Bachelor’s degree in a biological or chemical science field preferred.

Responsibilities

  • Responsible for collaborating with internal and external stakeholders to ensure all orders meet specified requirements prior to shipment.
  • This role prepares and verifies documentation for domestic and international shipments in compliance with regulatory and company standards, coordinates courier pickups, and manages shipping schedules to ensure timely delivery.
  • Actively tracks all outbound shipments and promptly alerts the site of any potential delays that may impact customer orders, enabling proactive resolution to minimize disruptions.
  • Compiles, transmits, and maintains delivery notifications for all outbound orders from the Woodbury site, while providing direct communication with customers to deliver status updates on pending viral material and respond to inquiries, including resolution of Salesforce cases.
