What will you be doing? The Document Specialist II will be responsible for managing paperwork, retrieving checks, obtaining necessary signatures, and ensuring the timely processing of licensing materials for Holman customers and clients. The position requires a holistic understanding Holman’s Licensing case types as well as an understanding and ability to interpret DMV processes and regulations. Signs, notarizes, and collates documents pertaining to Licensing cases Reviews physical Licensing documents for completion and accuracy Outbounds completed and notarized Licensing materials Effectively manages time and consistently meets deadlines with some guidance from supervisor Demonstrates accuracy, thoroughness and effectiveness in work Demonstrates attention to detail and commitment to doing quality work Adjusts quickly to new or changing assignments, processes and people Displays professionalism and remains composed when faced with challenges Learns from experience; modifies behavior to be more effective Recognizes one’s own strengths and opportunities for growth Solves a range of problems in straightforward situations; analyzes possible solutions and assesses each using standard procedures

Requirements

  • High School Diploma or equivalent required, a degree in Business Administration or relevant field preferred.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously
  • Previous experience in case management, administrative support, or customer service is a plus.
  • Proficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.)
  • Ability to work independently and as part of a team
  • Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
  • 2-4 years’ experience in administrative services or related fields
  • Proficiency in a technical or functional area; knowledge of work processes and tools is generally limited to own area of responsibility or department
  • Understanding of accounting principles and bookkeeping software may be required
  • Reviewing and improving processes, methods, and tools to increase efficiency, accuracy, and security

Nice To Haves

  • Additional education, certifications, or other distinctions are a plus.
  • Notary Public Certification is preferred, but not required
  • Knowledge of DMV regulations and processes is strongly preferred, but not required
