The Role: This role will report to Documents Processing Manager. This position will be responsible for assisting in organizing, scanning, and delegating all incoming mail to the appropriate departments, along with assisting with various assignments and projects as needed by the business. This role is based out of our San Francisco office, 5 days a week.

Requirements

  • Specific vision abilities required by this job include close vision, and ability to focus
  • While preforming the duties of this role, you will occasionally be required to walk; climb or balance; scoop, kneel or crouch
  • You must be able to move/lift 20lbs (a full file box)
  • Physical requirements: operate a computer for 8 hours per day; give and receive detailed information through verbal and written communication
  • This role requires to be in office, 5 days a week. This is not a remote role.

Nice To Haves

  • Familiarity with Laserfiche and/or Zendesk

Responsibilities

  • Monitor Zendesk ticketing system for original document requests: retrieve documents and deliver to the requester
  • Assist with day-to-day department duties as required, sort, prepare, and scan all mail that has been categorized into individual departments
  • File and maintain accurate hard copy files per department procedures
  • Scan all Forward to Investor mail and send it to the client via email and/or US mail, assist with mailroom duties including mass mailing
  • Use databases for client lookups and detailed account information
  • Assist with scanning, preparing and filing batches of checks and Exception Checks via Laserfiche and Zendesk
  • Special projects and miscellaneous scanning/indexing/filing online research duties as required
  • Knowledgeable in Microsoft applications (Word, Excel, Outlook, etc.)
