This opportunity with our Nashville Office entails being responsible for performing routine document controls assignments requiring basic knowledge of document controls principles in support of our clients and the rapidly changing transportation sector across Tennessee. A Document Controls Specialist 1 administers the document lifecycle for engineering and construction documents and define standards and workflows for document management. This position also includes leading the collection, authoring, publication, storage and retrieval of documents. This is an exciting time to be a part of not only HNTB, but also our rapidly-growing Nashville Office. We are supporting Tennessee's largest transportation initiatives and are eager to bring highly-motivated individuals onto our team.

Requirements

  • Associate's degree in relevant field, or In lieu of degree, High School Diploma/GED or equivalent and 2 years document control/document management functions and/or technical administrative support experience
  • Ability to think in a detailed and structured way
  • Ability to be systematic and learn the industry being supported.

Nice To Haves

  • Experience with data entry.
  • Proficiency in SharePoint

Responsibilities

  • Administers the collection, authorization, publication, storage, retrieval and retention of documents to ensure control and availability of documentation to site personnel.
  • Administers the document controls strategy, systems, and policies and procedures including but not limited to the authoring, approval, publishing, version control and archiving of all project or program related documents.
  • Maintains the electronic project record files.
  • Copies and scans documents as needed to perform distribution and storage duties.
  • Prepares records for inactive storage according to the Records Retention Schedule.
  • Supports regular audits of document control processes and procedures.
  • May assist in providing training to project personnel regarding document control and record retention policies, procedures, and project management system use.
  • Performs other duties as assigned.
