About The Position

The Document Control Associate is responsible for managing and maintaining the company's documentation system, ensuring all documents are properly controlled, up-to-date, and accessible to authorized personnel. This role involves working closely with various departments to support compliance and streamline document management processes. An entry-level or mid-level position focused on supporting document management activities, maintaining accurate records, and ensuring documents are properly filed and accessible

Requirements

  • High school diploma or GED required.
  • One or two years of experience in maintaining document control/document management systems or similar work.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite and basic document control software.
  • Ability to follow written procedures and verbal directions.
  • Ability to participate in group meetings.
  • This position may be asked to drive for company purposes during the course of employment. If asked and agreed upon, employees must possess a valid California Driver’s License and clean driving record.
  • May Participate in the identity verification process to access secure client or government portals by authorizing certified supplier or customer management platforms to obtain information from your personal credit profile or other information, solely to verify your identity.

  • Bachelor's Degree in Business Administration or similar major is preferred.

Responsibilities

  • Maintain and organize physical and electronic documents to ensure easy retrievability, as well as maintain proper distribution, access, preservation, and retention.
  • Distribute documents to appropriate stakeholders as required.
  • Enter document data into management systems with accuracy and completeness.
  • Scan, print, and make copies of documents
  • Provide general administrative support to the document control team.
  • Assist with preparing documents for review and approval.
  • Support the implementation of change control tools.
  • Control (generate, modify, update, archive, etc.) serial numbers in the ERP database and ensure accuracy and consistency of labeling physical products.
  • Ensure all documents meet company Quality Management System requirements.
  • Assist in preparing and providing documentation for audits and inspections.
  • Assist in regular audits to ensure document integrity and compliance.
  • Coordinate with various departments to gather, review, and process documents.
  • Set up the employee training requirement and maintain the training records.
  • Assist the Document Control Specialist and Technical Document Writer in developing and maintaining training materials and user guides for document control systems.
