About The Position

We have an opening for a Document Compliance Coordinator to navigate a complex matrix of federal, institutional and organizational requirements. You will collaborate with engineers and subject matter experts to initiate, develop, document and evaluate comprehensive technical procedures, documents and safety plans. This position will support the Superblock (SBK) facility within the Strategic Deterrence Directorate. This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization. This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level. In this role you will Analyze and implement documentation processes, procedures, and practices to ensure activities within the facility are performed in compliance with requirements in federal regulations, institutional procedures, and the nuclear facility safety bases. Evaluate procedures and process documents to verify facility requirements are adequately implemented, controls identified in the safety basis documents are maintained, and technical and management reviews are conducted. Serve as a contact for SBK processes, procedures, practices, manuals, guidance documents and safety plans and provide guidance to others related to SBK administrative procedures associated with document compliance. Collaborate with subject matter experts to initiate, develop, review, revise, implement and evaluate documentation that impact SBK facilities and systems, as well as LLNL programs. Monitor document tracking and routing, and ensure revision control using electronic applications (e.g., Enterprise Lifecycle Management-Unclassified [ELM-U]/Windchill) for configuration management of documents. Assist in planning, coordinating, and conducting periodic assessments to determine conformance with regulations, LLNL requirements, and SBK plans and procedures, including management self-assessments, observations and inspections, relating to SBK processes and other operational activities; recommend and coordinate completion of corrective action plans related to deficiencies. Manage technical information communications and interface with the LLNL programs and facilities personnel related to facility procedures; solicit feedback and facilitate comment resolution. Perform other duties as assigned. Additional job responsibilities, at the A23.3 level Develop, plan, review, assess, analyze, and implement administrative processes, procedures, and practices by applying in depth knowledge to ensure SBK activities comply with governing requirements, including federal regulations, LLNL procedures, and nuclear facility safety basis documents. Provide professional support to program/practice/policy development and implementation efforts; assists with program research and ongoing monitoring of results. Serves as a subject matter expert and trusted resource, providing informed recommendations to management on policy updates and changes.

Requirements

  • Ability to secure and maintain a U.S. DOE Q level security clearance which requires U.S. citizenship.
  • Associate Degree in a related field or equivalent combination of education and related experience in a business, operational and/or organizational area.
  • Experience interpreting, reviewing and analyzing administrative processes, policies, procedures and practices to determine if the activities they address are performed in compliance with complex regulations and requirements.
  • Effective technical composition, writing and editing skills and experience effectively composing professional documentation with the ability to obtain a Procedure Professionals Association (PPA) Certification.
  • Experience tracking, compiling and monitoring data necessary to coordinate corrective actions.
  • Proficient verbal and written communication skills necessary to manage scientific and technical communications across multidisciplinary teams, with effective collaboration and communication skills necessary to effectively explain and present proposed changes to documents and processes.
  • Effective organizational and interpersonal skills necessary to resolve problems and sensitive/confidential issues with tact, discretion, and mature judgment.
  • Strong proficiency in Microsoft Word and a solid working knowledge of Excel, FileMaker Pro, Adobe Acrobat, and EDMS (such as SharePoint or Windchill) with the ability to learn new software quickly.
