About The Position

The Document Administrator provides administrative and operational support to the Global Regulatory Compliance team, helping to maintain regulatory data, documentation, and systems that support compliant product sales and business operations globally. Working under the guidance of senior regulatory team members, the role supports activities including collating regulatory documentation, supplier information management and packaging recovery scheme administration, and coordination of routine regulatory tasks across brands and regions. The position works closely with team members in the US and UK and plays an important part in ensuring regulatory information is accurate, well‑organized, and available to support global regulatory processes. This role provides exposure to global regulatory processes and systems, with opportunities to build foundational regulatory knowledge over time under the guidance of senior team members. Proposed Schedule: Approximately 27 hours per week, generally Monday–Wednesday 9:00 AM – 5:00 PM and Thursday 9:00 AM – 4:00 PM. Schedule includes unpaid lunch breaks and allows for limited flexibility in start and end times based on business and team needs. What's in it for you? Requirements

  • Strong attention to detail, with the ability to accurately enter, maintain, and review regulatory data and documentation across multiple systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks, track progress, and meet agreed deadlines in a global working environment.
  • Clear written and verbal communication skills, with the ability to communicate effectively with team members and stakeholders globally.
  • Comfortable working with data, systems, and databases (e.g. Oracle or similar), with a willingness to learn new regulatory tools, portals, and processes.
  • Ability to follow defined processes and instructions, and to proactively flag data gaps, inconsistencies, or uncertainties to senior team members.
  • Collaborative working style, able to work effectively with cross‑functional and geographically dispersed teams.
  • Proficient in standard workplace tools (e.g. Microsoft Outlook, Excel, Teams), with confidence tracking tasks and supporting remote collaboration.
  • A two-year degree (associate’s degree) or higher is desirable; however, candidates with a solid educational background or equivalent relevant experience are strongly encouraged to apply.

Responsibilities

  • Maintain regulatory data and documentation within enterprise systems (Oracle) and SharePoint.
  • Support regulatory screening and standards maintenance through accurate data entry and record management.
  • Coordination, update, and distribution of Safety Data Sheets (SDS) globally, including international updates.
  • Request, track, and file supplier regulatory documentation (e.g. Raw Material Questionnaires, Safety Data Sheets, test results etc.).
  • Support administration of regulatory systems and tools, including horizon‑scanning services and global product notification portals.
  • Plan and track regulatory tasks for New Product Development (NPD) projects using PPM 360 and similar task‑management tools.
  • Support the administration of enhanced packaging recovery scheme (EPR) activities, including data entry and ensuring submissions are completed accurately and on time.
  • Prepare regulatory samples and supporting documentation for customers, external testing and reviews.
  • Provide general administrative support to the Global Regulatory Compliance function, including routine communications, inbox monitoring, and other related duties as required.
